This is a fantastic opportunity for a dedicated person to join the fast paced and dynamic Recognise & Respond Team. As administrative support to the Recognise and respond team you will have the opportunity to ensure that administrative tasks are completed in order to maintain the smooth running of the service.

The Recognise and Respond team supports a multi-disciplinary team caring for the urgent needs of the unwell patient. We are a team of highly skilled professionals who value every member within the team and the support provided by the surgical support administrator is imperative to the successful running of the team. You will be providing secretarial services to the matron and team leaders, ensuring that the core responsibilities of the post are being met. In addition, you will support in providing data input from patient information provided by the clinical team which help us to guide and improve the service, meeting the needs of the patient group we look after. You will also have line management responsibilities for an apprentice, giving you the opportunity to develop and nurture the next generation of the NHS whilst also gaining valuable line management knowledge and skills.

As post holder you will provide specialist secretarial, administrative support and services to the Recognise and Respond Team (RRT). You will also provide a comprehensive secretarial service to the matron for Recognise & Respond.

This will include staffing, HR, Finance (ESR’s and Endowment), typing of staff and patient related letters and support in the recruitment process. This role will require the management of diary appointments, taking minutes at relevant divisional/directorate meetings and retaining continuous spreadsheets on ESR’s, staff sickness, probationary periods, maternity leave status and Data input as directed. In addition, specialist spreadsheets will need to be maintained and kept up to date so the post holder can generate monthly dashboard reports.

- To support with any administrative tasks within RRT.
- To line manage RRT apprentice. Completing PDR’s, return to work discussions and supporting any apprenticeship work/meetings.
- To manage and write the Roster for the administration staff within RRT.
- To assist with the recruitment procedure and the co-ordination of interviews for nurses, secretaries, and other staff within the directorate.
- To constantly deal with matters of a confidential nature, liaising with HR, Finance, Payroll and Senior Managers / Board members as appropriate.
- To liaise with Senior Management, Line Managers, HR, Finance and Payroll on non-medical staff issues relating to recruitment, pay and sickness.
- To maintain electronic diaries for Matron and Clinical Leaders, making appointments as appropriate and making necessary diary changes to ensure the smooth running of appointments/meetings to establish policies and maintain a system to monitor Annual Leave for the Directorate. To include receipt of annual leave requests, maintenance of records detailing individual staff members leave allowance, and an up to date record of leave taken.
- To establish and maintain personal records for directorate staff, ensuring up to date job description, PDP and other personal information is recorded correctly.
- Management of staff personal data on IT database - used daily. Ensuring most up to date person
