**Job description**:
Based in the Aberdeen offices in the centre of Aberdeen with parking. 4 days a week in the office and one from home per week.
12-month PAYE contract.

**Responsibilities**:

- Maintain a comprehensive document control system for all project-related documents, including technical reports, drawings, specifications, contracts, correspondence, and other essential records.
- Ensure proper naming, numbering, and classification of documents to facilitate easy retrieval and tracking.
- Collaborate with project teams to establish document management procedures and guidelines.
- Make improvements to document system to improve efficiency and usability.
- Input to and update corporate document control procedure where necessary.
- Receive, review, and distribute incoming documents to relevant team members, departments, or stakeholders.
- Ensure that documents are distributed to the correct recipients in a timely manner, and that all parties are informed of updates and revisions.
- Implement a version control system to track revisions, updates, and changes to documents.
- Maintain accurate records of document versions and their history, and ensure that only the latest versions are in circulation.
- Maintain the confidentiality and security of sensitive documents, especially those related to proprietary information, contracts, and legal matters.
- Implement access controls and document encryption if necessary.
- Verify the accuracy and completeness of documents to ensure compliance with industry standards, company policies, and regulatory requirements.
- Identify and report discrepancies or inconsistencies in documents and work with project teams to resolve them.
- Facilitate the efficient retrieval of documents when required for project activities, audits, inspections, or other purposes.
- Maintain an organized and easily searchable document archive.
- Train team members and stakeholders on document control procedures and best practices.
- Ensure compliance with industry-specific standards and regulations related to document management.
- Generate regular reports on document control activities, including document status, distribution, and any issues or discrepancies.
- Assist in audit preparations and provide necessary documentation as required.

Experience & Qualifications:

- Proven experience in document control within the Oil & Gas industry or a similar field.
- Familiarity with industry-specific standards and regulations.
- Proficiency in document management software and tools.
- Strong organizational and communication skills.
- Attention to detail and accuracy.
- Ability to work collaboratively and in a fast-paced environment.
