Admin and Student Welfare Officer

To be helpful and courteous to students and anyone visiting the School.
- Acts as the first point of contact and advisor for all students and visitors to the School, ensuring they are dealt with in a professional and courteous manner, providing the necessary advice and assistance, and effectively dealing with any requests and feedback.
- Ensuring that the initial appearance of the School is well-ordered and welcoming and that posters and notice boards are kept up to date.
- Responsible for working with the team to generate and convert walk-in students.
- Responsible for ensuring smooth delivery of students including airport transfers, arrival at homestay families, or if appropriate liaising with homestay delivery partners to assign the best-fit homestay family, and the operational aspects of the students first day in conjunction with other members of the team.
- Dealing with all student enquires and providing guidance to students in securing Private accommodation.
- Issuing standard documentation, such as letters for bank account, bus pass letters etc. to individual students.
- Working closely with the Schools management in assessing student documentation for admissions.
- Scheduling the school’s academic calendar and recording School meetings; Supporting all other departments within the organisation to arrange external visits to the School.
- Ensuring there is effective communication of administrative information with all other departments within the organisation.
- Providing information and advice to students on their course choices before their arrival and during their stay at the School.
- Responsible for reviewing and implementing all student enrolment procedures effectively and with appropriate sensitivity
- Responsible for the induction of new students throughout the academic year and the organisation of leaving ceremonies.
- Maintaining up-to-date records of student’s details; keeping students local and emergency contact details
and ensuring these details are accessible at all times within the school to responsible persons.
- Ensuring that all student details are up to date on the Schools database and updated if required.
- Providing general administrative and record keeping for the School as directed by senior management.
- Carry out other administrative duties as and when required to support the smooth running of the School throughout the academic year.
- Assisting with the collection of monies owed by the student; following the company’s policies and procedures; supporting the Centre Director in dealing with financial sponsors of students and responsible for the organisation of these records.
- Providing information to various departments, as required, regarding accommodation, social events and course availability.
- Working with the BSM in regularly reviewing and implementing a clear and effective policy on student attendance and punctuality; making the policy known and applied to all students; maintaining accurate records and effective arrangements for following up student absences and lateness; communicating relative information with the academic department.
- Managing stationary stocks for the office and teaching facility, including printers and photocopiers; managing stock of learning resources.
- Updating the Schools social media sites as and when required with any relevant news and events.
- Managing the student representative programme.
- Monitoring and recording student welfare concerns; communicating with the senior management as required regarding any welfare issues.
- Ensure that there is a cleaning rota and all staff is complying by the rota.
- Responsible for administering staff holiday bookings
- Responsible to deal with all student personal problems
