**Project Administrator - London (Hybrid)**

Due to our continued growth to be recruiting for a Project Administrator to oversee and co-ordinate the workload of clients, monitoring the individual client workstreams to make sure expectations and timelines are met.

As a newly created position, this is a fabulous opportunity to join us to take ownership of the role, develop and grow as the needs of the role expand to meet the needs of the business.

**Principle responsibilities (but not limited to)**
- Updating our project management database with key project information such as client details, project information, setting up new enquiries, updating live projects as they progress.
- Maintain project documentation, uploading/downloading, filing correctly onto Sharepoint and any other Sites required.
- Provide support to colleagues with respect to purchasing, travel, hotels etc.
- Capture and accurately record invoicing details and where necessary PO numbers for all projects.
- To prepare and send invoices, following up late payment where required.
- To monitor projects as they progress and have up to date information available.
- Supporting project managers to provide fees and fee proposals.
- To manage and co-ordinate the fire engineering workflow into the company from clients to ensure their expectations are managed and then met.
- Periodic housekeeping of the project management system to ensure the best possible data is available to the team.
- Provide administrative support for completion of tenders and company competency questionnaires.
- Support the Director of Fire Engineering with enquiry management to achieve KPI objectives.

**Key requirements**
- Strong organisational ability and detail orientated.
- Communicate effectively (verbally, writing and electronically) with both internal and external clients to meet the job purpose.
- Able to work as a team but equally work on own initiative.
- Work to deadlines and able to prioritise own workload.
- A pro-active approach, identifies business opportunities and/or process improvements.
- Proven administration/project support experience.
- Fluent English (spoken, written and comprehension).
- Proficient in Microsoft Office, particularly Word, Excel and Outlook with a demonstrated ability to rapidly learn new software and systems.
