This Job Description sets out the duties of the post at the time it was drawn up. Such duties may vary from time to time without changing the general character of the duties or the level of responsibility entailed. Such variations are a common occurrenceand cannot themselves justify a reconsideration of the grading of the post.

Specific Tasks

Retrieve the banking transactions for the client account from the internet on a daily basis. Reconcile the cheques from the entries and post all receipts to the relative accounts.

Reconcile the pdq entries and compare them with the statements to ensure that they are correct. Reconcile previous transactions from the internet banking sheets.

Reconcile the cash and cheques taken from the previous day from the safe with the entries in the cash book and enter them onto a banking spreadsheet. Print the sheet and complete the banking paying in procedure and take the funds to HSBC Bank on a daily.

Print off a list of all landlords to be paid 3 x week (Mon. Wed, Fri) or when minimum BACS entries have been reached (40). Check that the payments to be made are correct and modify where necessary. Pay the landlords.

Pay Contactors/ Utility Bills.

Follow a weekly timetable to issue arrears letters, section 21 notices and check on the previous weeks activity to ensure that the outstanding balances are being effectively collected, following up with telephone calls where necessary.

Take rent payments over the phone (Virtual Terminal).

Ensure that all move in funds have been entered onto the computer system on a daily basis.

Register the deposits with relevant schemes.

Ensure that all deposit refunds have been returned within prescribed time limits
De-register the deposits.

Follow the process off contacting landlords and tenants on a twelve-monthly basis to negotiate and agree rent reviews. Update the accounts system to reflect the review agreed.

Rent Protection - Claims and renewals.

Monthly deposit reconciliation.

End of the month bank rec.

Quarterly overseas LL tax return

Quarterly Portfolio LL report

Looking after Housing Benefit tenants

Monthly Portfolio reporting
