**Summary**

We are looking for an Attendance & Admin Officer to work within our Admin Office, undertaking attendance, reception and other administrative duties.

We are a 3 form entry primary school from Recepetion to Year 6, which also includes a 52 place Nursery. Harris Primary Academy Chafford Hundred (HPACH) is a successful academy that was judged outstanding in every category in our October 2018 Ofsted inspection. We are a sister school to Harris Primary Academy Mayflower, along with the other Academies in the Harris Federation. **Main Areas of Responsibility**
This key role includes:

- Daily monitoring and follow-up of attendance and punctuality including overseeing the completion of registers across the academy.
- Assisting the Senior Leadership Team in the management and development of attendance and punctuality policies.
- Daily monitoring and early calls on the attendance of absent pupils, including establishing reasons for absences, telephone calls, electronic messages and home visits, in liaison with SLT/Safeguarding Lead.
- Preparing and distributing attendance and punctuality certificates.
- Sending template letters to parents regarding attendance and punctuality matters.
- Monitoring poor attendance and punctuality. Organising attendance meetings, with parents/carers, class teachers, and external agencies, making home visits, ensuring student contracts are agreed and monitored.
- To improve and develop existing tools and procedures for attendance and punctuality monitoring.
- Liaising with the Education Welfare Officer to ensure that prompt, consistent and rigorous intervention with poor attendance is robust.
- To deal efficiently and effectively with referrals on attendance concerns.
- To alert the appropriate staff to problems experienced by pupils.
- To communicate as appropriate with the parents/carers of pupils and with persons or bodies outside the Academy, concerned with the welfare of individual students, after consultation with the appropriate staff.
- To attend all appropriate meetings and organise fortnightly meetings with SLT to review attendance figures and action taken.
- To deal efficiently and effectively with requests for Pupil Leave of Absence. Seeking and collating supporting evidence for consideration by the Head of Academy, recording the decisions and preparing paperwork as required ie for fines for referral to the Education Welfare Officer.
- To seek and record evidence for any other pupil absence, not sickness related, ie medical appointments, embassy appointments etc
- To cover for dinner registers as and when needed.
- Pursue outstanding dinner money under the supervision of the Senior Admin/Finance Officer & Extended Provision Manager.
- Undertake reception duties, answering general telephone and face to face enquiries and signing in visitors, dealing with parental and visitor enquiries and supporting student enquiries.
