We currently have an opportunity for an Admin Assistant to join the team. On a day -to-day basis you will be reporting directly to the Projects and Office Manager. You will be responsible for the day to day running of site access/security, facilities, incoming communications, trade counter, completion of admin and post functions.
**Responsibilities**:
- Answering the phone and fielding calls through a switchboard
- Setting up and maintaining speed dials
- Operating the main gate
- Monitoring site CCTV
- Using the tannoy for the warehouse
- Facilitating collections via the trade counter
- Data entry and administrative tasks for month end reports
- Filing
- Completing brand logs through internet research
- Incoming and outgoing post duties
- Greeting occasional visitors to the showroom and making drinks
- Ensuring the signing in book is filled in, taking staff temperatures, issuing visitor badges where required
- Assisting with booking hotels for Account Managers
- Generating training certificates
- Ordering stationery and facilities supplies
- Ordering lunches when required
- Making ad hoc arrangements for trades repairs and maintaining the works permits file
- Locking up the Reception and showroom area of the premises of an evening
- Fire marshal duties
Any other duties as reasonably requested
