**Job Specification**
To act as the first point of contact for visitors and callers to Alert and to undertake a range of other administrative tasks as identified by the Facilities Manager. Monday - Friday 3.30pm - 8.00pm and Saturday 8.30am - 2.30pm
**Building**.
- Open the Gymnastics facility on arrival and lock the front door in the evening.
- Ensure that the front and rear entrances of the building are clean.
- Switch on all lights and check cleanliness of the interior, making a record of any poor levels of cleanliness or any maintenance issues and take necessary steps/action to remedy.
- Ensure that the kitchens are well stocked with milk, sugar, tea and coffee.
- Ensure all toilets are well stocked with toilet paper, hand towels, linen roller towels and hand soap.
**Telephone System.**
- Operate the phone calls from 3.30pm - 8.00pm; receiving and dealing with enquiries.
- Maintain and ensure that the answer message is appropriate.
- Report telephone equipment and line faults to the Facility manager
- Train all new staff in the operation of the telephone system, as part of the New Staff Induction process and take a pro-active approach to ensuring existing staff are professionally trained on making full use of the system.
- Greet and welcome visitors to the Gymnastics facility between 3.30am and 8.00pm weekdays and 8.30am - 2.30pm Saturday, ensuring they re signed in correctly on their arrival.
- Monitor and ensure that the reception area is kept tidy and projects a professional image.
- Keep a record of staff and visitors signing in and out of the building.
- Check and sign for deliveries, before informing the relevant member of staff of their arrival.
**Computer System**
- Devise and conduct regular online member satisfaction surveys and elicit feedback to the relevant staff.
- Create new accounts for members.
- Book members into the appropriate classes
- Authorise payments and payments requests.
- Provide administrative and general support to the Facilities Manager in ensuring compliance with Health & Safety Regulations.
- Provide logístical support to meetings held in the in the venue, to include preparation of meeting and meeting rooms and assist in arrangements for catering provisions
This is an employed position of 22.5 - 29 hours per week Monday - Saturday
Hours 3:30pm till 8.00pm
To be considered for the role we are looking for someone who is:
- Educated to A level standard - or equivalent
- At least 1 years’ experience of working in an administration and receptionist environment
- Familiarity with the use of office equipment
- Implementing admin systems and databases
- Excellent verbal communication skills with a good telephone manner
- Good written skills
- Good interpersonal skills
- Computer literate, with keyboard skills and experience of word-processing, (Microsoft Word)
- combined with ability to acquire other skills as necessary (e.g. databases and spreadsheets).
- Ability to work on own initiative and take responsibility where necessary and to work as part of a team.
- Ability to work to a high standard while under pressure
