Executive Assistant
Our client a well-established charitable organisation based on the outskirts of Leeds has a rare opportunity for an Executive Assistant to join them. You will be responsible for supporting the Chief Executive and the Director of Operations. The role will also provide some administrative support for the Board and other members of the senior team as required. You will need to gain an in depth understanding of the work of the organisation, understand how the Chief Executive and Director of Operations work, their styles of working and be one step ahead of requirements.
As Executive Assistant your duties and responsibilities will include:
Diary Management predominantly for the Chief Executive and Director of Operations
- Ensure forward planning sessions in relation to diaries are carried out on a regular basis
- Regularly review the diaries and prompt/remind particularly for important meetings/appointments or projects
- Arrange and organise meetings as required with internal and external parties
- Develop relationships with diary managers of those Committees/Boards
General support for CEX, Director of Operations and senior management team
- Understand and communicate with individuals on work priorities
- Ensure papers, information, briefings for meetings are available in agreed timescale
- Assist with formatting documents, and producing PowerPoint slides.
- Book conferences, hotels and train tickets
- Arrange staff 121's and ensure in diaries
- Arrange and minute Leadership meetings
- Sort and forward post, forward for response if required
- Support in hosting visitors for meetings, meeting. greeting and providing refreshments
Board Administrative Support
- Check Board papers are complete and numbered correctly
- Minute Board and Committee meetings
- Coordinate booking of conferences, events, dinners, training
- Provide assistance with the Annual General Meeting
- Arrange venues for in person meetings and minute Board and Committee meetings
Corporate Services Team Support
- Source and arrange venues and logistics for in person meetings
- Process invoices and purchase orders in line with procedure
- Reconcile the credit card receipts
- Source and order items, thank you gifts and stationery
**Requirements**:
- Previous experience as an Executive Assistant essential
- Excellent Microsoft Office skills including PowerPoint
- Experience of supporting a board would be desirable
- Strong organisational skills
- Proven diary management experience
