**Job Purpose**
The post-holder will provide professional administrative, operational, and strategic support to the MVLS College Office with a focus on governance committee operations, events and meetings co-ordination, data and information gathering, communications, and office operations, with occasional senior diary management support as required.

**Main Duties and Responsibilities**
1. Provide efficient and effective operational and administrative support to the College Executive Assistant and the wider College Office senior team.
2. Act as the logístical lead for the organisation of executive meetings, committees and events and provide in-person support to deliver successful meetings, committees and events.
3. Provide proactive professional administrative and operational support to College Management Group, College Executive Group, Glasgow Health Sciences Partnership Boards and other working groups and projects as required, including proactive monitoring of action delivery.
4. Co-ordinate data and information gathering activities including, but not limited to, Freedom of Information requests, Data Subject Access Requests, survey responses and executive briefing notes.
5. Liaise with a wide range of University stakeholders to collate and produce College communications materials, ensuring exceptional attention to detail and create and maintain the supporting communications planning mechanisms.
6. Proactively manage operational tasks to ensure the smooth running of the College Office; including purchasing, stock management, arranging IT and audio-visual technical support, arranging catering and estates issues liaison.
7. Be a key point of contact in the provision of an effective College Office service and provide clear advice to colleagues and office visitors, filtering issues and seeking resolution, planning, and prioritising work activities, adjusting priorities to meet the service requirements.
8. Contribute to a culture of continuous improvement, recommending any changes to processes and supporting the implementation of improvements by adopting and advocating standard operating procedures and work systems within the broader support team remit.
9. Provide cover to Executive Support Team colleagues to manage the diaries and meeting schedules of Executive Team members as required.
10. Undertake other duties of equivalent standing as assigned by the Executive Assistant.

**Knowledge/Qualifications**

**Essential**:

A1. Either: Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role.
Or: Scottish Credit and Qualification Framework level 7 (Advanced Higher / Scottish Vocational Qualification level 3, Higher National Certificate) or equivalent, and experience of personal development in a similar role.

**Desirable**:

B1. Knowledge of University of Glasgow policies and procedures
B2. Knowledge of Higher Education sector.

**Skills**

**Essential**:

C1. Excellent administrative, secretarial, and clerical skills.
C2 Ability to work independently and to proactively plan, organise and prioritise effectively, delivering work to standard and within deadlines

C6. Excellent interpersonal skills and communication skills (written and oral).
C7. Ability to present information via different media and methods to convey a message to range of audiences.

**Experience**

**Essential**:

E1. Experience of providing administrative support within a complex organisation.
E2. Experience of general administration, dealing with correspondence and creating and monitoring against action plans.
E3. Experience of liaising with a diverse range of people both internal and external to the organisation.
E4. Experience of events or complex meetings co-ordination and facilitation.
E5. Experience of collating, interpreting and presenting data and information.

**Desirable**:

F1. Experience of complex diary management using Outlook.
F2. Experience of creating or co-ordinating internal or external communications via a range of media.
F2. Experience of working in a higher education environment.

**Terms and Conditions**
Salary will be Grade 5, £25,138 - £29,605 per annum.
