As a well-known Staffordshire firm of chartered accountants and business advisers.

We are looking for a full time **Administrative Assistant** to join our friendly team, located at our offices in Stoke near the A500 and A50 in easy reach of J15 & J16 of the M6.

The **Administrative Assistant** will ensure compliance with regulatory requirements regarding the creation of electronic and paper documentation and record keeping for seamless business operations. The role will provide administrative support to Directors and Managers and act as the first point of contact between the Company and its client’s/ visitors.

**Main Duties & Responsibilities**:

- Upon receipt of new client form, log client on tracker and use IRIS (task management software to create and set up a new client account and client folder.
- Create client’s electronic welcome pack and accounts pack using IRIS (task management software) and save to client’s folder in IRIS. Occasionally, these may need to be created as hard copies.
- Ensure all relevant electronic/ paper correspondence is contained within client’s welcome pack and accounts pack.
- Use IRIS to submit welcome pack and accounts pack to Director/ Manager for review/ sign off.
- Upload welcome pack and accounts pack to online portal for client to access. Occasionally, these may need to be printed and issued by post.
- Manage returns of client’s welcome pack and accounts pack, ensuring that packs have been signed and dated by the client. Update the status of the welcome pack and accounts pack to complete on IRIS and the tracker, save the electronic documentation to the client’s folder on IRIS and remove the client’s welcome pack and accounts pack from the online portal. Occasionally, hard copies will be returned and these need to be scanned and saved to the client’s electronic folder.
- Complete ID check once client account is live, ensuring compliance with regulatory requirements. Save electronic record to client’s folder.
- Complete anti-money laundering checks using AML platform, ensuring compliance with regulatory requirements. Save electronic record to client’s folder.
- Manage reception area, including welcoming client’s and visitors.
- Scanning of general paperwork, ensuring that no records go to storage without a digital record being available.
- Be educated to GCSE level.
- NVQ (or equivalent) in Business Administration is desirable.
- Have significant administration experience.
- Previous experience processing paperwork within Financial Services or a regulated environment is desirable.
- Previous experience of using IRIS or equivalent task management software is desirable.
- Knowledge of AML legislation and compliance is desirable.
- Ability to problem solve effectively, and to work on own initiative when necessary.
- Strong team player, with an organised and positive attitude to work.
- Excellent time management, and prioritisation skills.
- Ability to work methodically and follow process.
- Confident and clear communication skills, both written and verbal.
- Proven ability to work well in a fast-paced environment, meeting multiple deadlines within set timescales.
- Excellent accuracy and attention to detail.
- Flexible in approach to work tasks, being able to adapt quickly to new circumstances as they arise.
- Proactive approach to own personal and professional development
