We are looking for an experienced, reliable, and friendly person to join our pharmacy clerical team. This will be an office-based role. You will be assisting the Pharmacy Administration Lead/Chief Pharmacist’s P.A. in the clerical duties required within pharmacy and providing clerical support to the pharmacy’s education and training team.

This is a full-time post working 37.5 hours per week.

Process all mail, inbound and outbound, ensuring all urgent correspondence is handled promptly and efficiently.

To ensure telephone calls are answered and dealt with in an efficient and polite manner, whilst making sure callers are transferred and/or messages are recorded and relayed the relevant people.

To ensure the e-rostering system is kept up to date.

To carry out a range of clerical duties under the direction and supervision of the Pharmacy Administration Lead.

Support the education and training team in maintaining training records and preparing documentation for new starters

Completion of the monthly and daily staff absence returns.
Photocopying and distributing information.
General office duties including data processing and collating information as required.
Uses judgmental skills daily in situations which require problem solving, resolves conflicting diary appointments where necessary, schedules appointments using own initiative.
Demonstrates proficient ability in the use of IT software and systems, able to solve simple IT problems for staff.
Ensure staff and patient confidentiality are always maintained.
To adhere to Trust and departmental policies and procedures.
To ensure mandatory training is kept current and to participate in own development plan at annual appraisal.
Takes and transcribes formal minutes or audio dictation as required.
Provide training to new starters and less experienced staff where needed.
To carry out a range of clerical duties under the direction and supervision of the Education and Training pharmacist, including:
Keeping the record of completed staff training up to date.
Assisting with other clerical duties required by the pharmacy education and training team.

Develops and maintains office systems and procedures, providing continuity and uniformity in methods, to ensure information is accurate and easily accessible, and to provide a smooth-running service. Co-ordinates room bookings for own area, arranges room appropriately.
Ensuring the availability of appropriate equipment, catering bookings and support materials are available.
