**About the Role**:
Caradoc Surgery
** **has an opportunity for a receptionist/administrator to join our team on a
** **part-time
** **basis, for 22 hours per week working
** **Monday, Tuesday, and Wednesday 07:45 to 13:15 and Friday 13:15 to 18:35.
You will be responsible for undertaking a wide range of reception and administrative duties and the provision of general support to the multidisciplinary team. The main duties include:
- Maintaining and monitoring the practice appointment system.
- Processing personal, telephone and e-requests for appointments.
- Answering incoming phone calls, transferring calls or dealing with the callers request appropriately.
- Signposting patients to the correct service.
- Processing incoming and outgoing mail.
- Initiating contact with and responding to, requests from patients, team members and external agencies.
- Processing referrals to external agencies such as secondary care using the electronic referral system (ERS).
- Processing call letters as requested.
- Processing all DNA letters in accordance with current policy.
- Reading code data on SystmOne.
- Photocopying documentation as required.
- Filing and storing records as required.
- Entering data of new and temporary registrations and relevant patient information as required.
- Inputting data into the patient’s healthcare records as necessary.
- Scanning of patient related documentation and attaching scanned documents to patient’s healthcare records
- Processing requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the administrative team.
- Managing all queries (including administrative queries) as necessary in an efficient manner.
- Carrying out system searches as requested.
- Maintaining a clean, tidy, effective working area at all times.
- Monitoring and maintaining the reception area and notice boards.
- Supporting all clinical staff with general tasks as requested.

- Excellent communication skills, with a clear and polite telephone manner.
- Ability to work in a polite, confidential and discreet manner, respecting patients at all times.
- Experience of working with the general public, being sensitive and empathic in distressing situations.
- Confidence to work as part of a team and ability to "think on your feet".
- Strong IT and administration skills.
- Previous medical or healthcare receptionist experience is desirable.
Some flexibility is required, as you will sometimes need to work additional or alternative hours to cover for colleagues.

Caradoc Surgery is part of the Ranworth PCN, which is comprised of Ranworth Surgery in Clacton-on-Sea, Green Elms Health Centre in Jaywick, Kennedy Way Medical Centre in Holland on Sea and Caradoc Surgery in Frinton-on-Sea. We have a diverse patient population, of around 32,000 and all practices work on SystmOne.
