Receptionist / Administrator (25.5 Hours Per Week)

**About the Role**:
Kennedy Way Medical Centre has an opportunity for a receptionist/administrator to join our team, on a part-time basis, working 25.5 hours per week in the following pattern:
Tuesday: 7.45am - 6.45pm
Wednesday: 7.45am - 6.45pm
Friday: 1.15pm - 6:45pm
The role will be based across our sites: Kennedy Way Medical Centre, Green Elms Health Centre and its branch surgery at Nayland Drive.
- The post-holder will be responsible for undertaking a wide range of reception and administrative duties, providing general support to the multidisciplinary team. The main responsibilities of the role include:
- Maintain and monitor the practice appointment system
- Process in-person, telephone and e-requests for appointments
- Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
- Signpost patients to the correct service
- Process incoming and outgoing mail
- Processing repeat prescription requests
- Initiate contact with, and respond to requests from, patients, team members and external agencies
- Process referrals to external agencies such as secondary care using the electronic referral system (ERS)
- Process calling letters are requested
- Process all DNA letters in accordance with current policy
- Read code data on SystmOne
- Photocopy documentation as required
- File and store records as required
- Data entry of new and temporary registrations and relevant patient information as required
- Input data into patients' healthcare records as necessary
- Scanning of patient-related documentation, attaching scanned documents to patients' healthcare records
- Process requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the administrative team
- Manage all queries (including administrative queries) as necessary in an efficient manner
- Carry out system searches as requested
- Maintain a clean, tidy, effective working area at all times
- Monitor and maintain the reception area and notice boards
- Support all clinical staff with general tasks as requested

- Excellent communication skills, with a clear and polite telephone manner;
- Ability to work in a polite, confidential and discreet manner, respecting patients at all times;
- Experience of working with the general public, being sensitive and empathic in distressing situations;
- Confidence to work as part of a team and ability to "think on your feet";
- Strong IT and administration skills;
- Previous medical or healthcare receptionist experience is desirable.
Some flexibility is required, as you will sometimes need to work additional or alternative hours to cover for colleagues.
