Operations Administrator

Northern Ireland, United Kingdom OpSwan Ltd Full time

**ROLE: OPERATIONS LEADER (Administrator Role)**

**SALARY**: Starting from £22,000 p/a + Incentives

**WHO IS OPSWAN?**

OpSwan is a brand new startup engaged in managing Operations and systems for other startups. Our mission: To make running startups easy.

We specialise in 4 things:

- General Administration
- Financial and Sales Ops
- Operational Standards Creation
- Systems Creation and Support

We support SME clients across the UK and the East Coast of the US.

**WHAT WE STAND FOR**:
OpSwan is a company led by its values. We take pride in encapsulating these values in everything we do. These are:
**i) Be a like water**
Our Being can be chosen anytime to fit the challenge, and to be fulfilled in the process.

**ii) Context matters**
Changing the context creates the space for solutions to show up. We shape the context for ourselves and for our clients, and we take action within it.

**iii) Anything is possible**
Anything we want for ourselves and our life is a function of communication. In business there is no difference.

**iv) Own it**
Accountability starts at the top. Responsibility is self-generated. We think and act as if we owned each of the businesses we work with.

**v) Why not?**
Like a mountain without a top, the next level is there ready to be reached. We buy into each business' future and challenge ourselves to make it faster, bigger and better. Why not?

**ABOUT THE ROLE**:
As an Operations Lead you'll be the glue that holds together the Operations for all the clients you will manage. You will be reporting directly to the CEOs and Managers of each of the clients you will take on, ensuring everything ticks like clockwork. This is critical to ensure their businesses run smoothly and their own clients are happy.

The concept is simple: you will work with clients daily and run normal operations. While you do this, you will notice things can be made better and more efficient: you will gather issues that needs resolving. Any issue you find, you will pass it to an OpSwan Solution Builder. Once agreed with the client, the Solution Builder will build it and implement it, then they will give it back to you - who will be working even more efficiently thanks to your own creation. Rinse & repeat.

As a fully remote position, your role will be based from home and employment is full-time.

**WHAT YOU'LL DO**:
This is a critical position for OpSwan to ensure we can continue to scale while maintaining operational excellence. As part of your role you will:

- Attend client team meetings (1-2 times a week)
- Act as the de-facto Operations Manager for each company
- Work on client projects which may vary in nature (one day could be marketing, next day might be CRM administration, adding people on LinkedIn after a meeting)
- Ensure all bills and invoices are managed, you will be the gatekeeper of all money in and out before clients make payments.
- You will be the go-to person for different internal functions for clients (HR, Finance Ops, Administration, small IT issues and Sales Ops)
- Help to gain OpSwan referrals (commissions - the more you manage, the more you earn)

**WHAT WE REQUIRE**
- Experience with **tracking and managing multiple projects** in a **professional services** company
- **Highly organised** with great attention to detail
- **Tech-adept** with ability to work with a variety of software tools
- Excellent **written and verbal** communication skills
- **Proactive** with a desire to **take ownership** of their work

**DOES THIS SOUND LIKE YOU?**

Energetic team player with a background successfully managing projects (and organising people) in the **professional services** sector. Happy to take initiative and "work in the grey" to figure out problems in fast growing companies and get excited by seeing things run like a well oiled machine.

**WHY WORK FOR US**:
OpSwan helps startups make running business easy. As a result you will get to work with entrepreneurs and business owners growing their companies to achieve incredible things.

We understand that there's more to life than just work As a fully remote team, we encourage work-life balance and having fun while making a difference to our clients.

**Salary**: From £22,000.00 per year

**Benefits**:

- Company events
- Company pension
- Employee mentoring programme
- Gym membership
- Private dental insurance
- Private medical insurance
- Profit sharing
- Referral programme
- Sick pay
