Senior Administrator/ Medical Secretary

To manage, supervise and co-ordinate full administrative support for the Early Intervention Team. To provide Medical Secretary support to designated Consultant and their team (0.2 of the role). To support the development of the service in line with the Access and Wait standards for first episode psychosis including effectively and efficiently developing and implementing systems required to collect and manage
information and reports as required. You will possess excellent communication and organisational skills and are able to work on your own initiative and as part of a team.
**Main Duties and Responsibilities**:
- To ensure a comprehensive, effective Medical Secretary and Administrative
service is provided for the Early Intervention Team.
- To support the Team Manager to ensure that Key Performance Indicators are
effectively implemented and monitored for performance against the standard
required

Job Summary

**Main Duties and Responsibilities**:
- To ensure a comprehensive, effective Medical Secretary and Administrative service is provided for the Early Intervention Team.
To support the Team Manager to ensure that Key Performance Indicators are effectively implemented and monitored for performance against the standard required.
- Reception Duties:
As first point of contact, ensuring that the service provides an appropriate, courteous response to all enquiries, recording and relaying messages accurately and promptly, and making telephone calls as directed.
- Promoting good client care and anti-discriminatory practice. This may involve dealing with clients in a distressed state and or where there are barriers to understanding.
- Responsible for the co-ordination and running of out-patient clinics
- Maintain a room-booking diary and visitor signing in/out system.
- Process incoming and outgoing mail and distribute according to procedures.
- To report building repairs, as and when required, and to deal accordingly with any issues appertaining to the maintenance and security of the building as they occur.
- To be responsible to ensure relevant information leaflets are available and displays are up to date in reception areas.
- To actively encourage and support completion of patient reported outcome measures and satisfactory measures as required.
- To monitor the generic e mail inbox for the team
**Secretarial Duties**:
- To provide a high quality effective and secretarial service to the team
**including**:
- General correspondence
- Mental Health tribunal reports
- Reports to Benefit Agencies
- Taking/typing of minutes
- Up-dating of local policies and procedures
- Up-dating job descriptions/person specs
- Displayed work eg. Flow charts, tables for presentations
- Accurate recording of data on manual and computer information systems and respond to requests for reports from such systems
- Validating caseloads
- In-putting information onto the Pennine Care NHS Trust patient record system including PARIS including:
- Enhanced reviews/enhanced assessments
- CBT data
- Carer’s assessments
**Administrative Duties**:
- Filing duties, including making up new files, updating of current case notes and filing systems in general, archiving and file tracking
