Customer Service Administrator

Competency:
Good understanding of written and spoken English to be able to carry out work instructions correctly and fill-in batch records in accordance with GMP requirements.

Key Responsibilities:
This role will coordinate all customer activities and will play an important role in the Production and Logistics Department, by being the Company’s first point of contact for the customer and providing interface between the company and the customer in all customer associated tasks.

The purpose of this role is to support all Departments and make sure that all tasks required within the organisation are consistently carried out to a high degree of competency & accuracy.

Main Duties:

- Receive and process all orders onto the MRP system
- To Complete the required checks to ensure that orders can be processed
- Ensure all customer orders are in accordance with standard T&C’s or agreed contracts
- Receive purchase orders from customers and raise sales order on Navision System.
- Raise production orders of lens and ensure it meets requirements based on purchase orders.
- Issue Performa Invoices and ensure payment has been received before proceeding shipments.
- Prepare shipment schedule.
- Prepare Commercial Invoices.
- Maintain production schedule daily and weekly.
- Check credit limits for customers before proceeding with Despatch of goods.
- Liaising with customers daily
- Extract monthly sales report form Navision system. Preparing and maintaining monthly sales report with Pivot table and chart to Managing Director of the company and all individual Sales Agents and Sales Managers.
- Deal with foreign currency purchase orders.
- Providing customers with Purchase prices of individual parts request in various currencies.
- Keep track of shipments done within the delivery dates.
- To carry out Adhoc duties
- Ability to build rapport internally and with customers to ensure positive working relationships
- Responsive and self-motivated
- Effective communicator at all levels both oral and written
- Good personal organization with high attention to detail
- To work with the Quality department to ensure all production remains compliant throughout the delivery of product.
- To ensure adherence to all Sales procedures and processes recommending proposals for change as appropriate
- To remain compliant at all times to the Responsible Business Program
- To carry out other such responsibilities as may be allocated from time to time.
- General Housekeeping

Experience and Background:
Customer Service knowledge and experience is preferable.
- Experience in order processing is essential
- Strong communication skills are essential.
- Microsoft office skills are essential.
- Experience of using MRP related business system
- Previous experience of working within a large organisation is preferable.
- Understanding of Manufacturing Industry is preferable.

**Education**:
Computer Literacy:
Must have good knowledge of MS Excel, Word, MRP system and Outlook.
