JOB TITLE: Human Resources Administrator

LINE MANAGED BY: The Registered Manager

Summary of Post:

- The post holder will work closely with Wirral Mind’s Registered Manager and any other department Managers as and when required.
- The person will have a solid background in administration and will deal with all Human Resources, with the support of Senior Management.
- The person will assist the Management Team in the recruitment of all new staff members and maintain all relevant personnel documentation in a timely manner.
- The person must be able to work well in an office with other staff and must have an awareness and understanding of Mental Health and EDI.

**Duties**:

- General
- Maintaining all staff personnel files.
- Ensure all staff have up to date DBS certificates.
- Ensuring all Job Descriptions are available.
- Arrange Interviews.
- Ensure references are applied for and chased up. Inform the relevant manager when both references have been received.
- Draft and send out Letters of Appointment.
- Check all potential hires/new hires Right to Work.
- Give new starter forms to the Finance Manager for payroll purposes.
- Ensure all files have the correct & complete file documents.
- Ensure all contracts are issued and kept up to date, with support from the CEO.
- Record Disciplinary Incidents. Prepare for disciplinary meetings by sending letters as appropriate and booking the meeting and room. Attend meetings and take minutes.
- Track & maintain training & qualifications, using the online tracker.
- Maintain annual leave and sickness records, review these with the Registered Manager and Finance Manager as appropriate.
- Gather monitoring information and produce reports required by the funding body and Wirral Mind, providing regular updates to the CEO.
- Assist in the promotion of projects and be involved in the production of any promotional materials.
- Maintain stationary supplies.

- Attend supervision and progress meetings.
- To develop positive relationships with participants, colleagues and other agencies.
- Keep informed about current topics and development in mental health.
- To adhere to and promote Wirral Mind’s policies and procedures, particularly Equality & Diversity and Health & Safety.
- To undertake any appropriate training as required and discussed with the Project Training Manager.

Person Specification:
Essential:

- A good general education to A-Level or equivalent, including English.
- Effective verbal or written communication skills.
- Office administrative experience.
- Ability to work under own initiative and as a member of a team.
- Ability to organise own work and meet deadlines.
- Accuracy and attention to detail.
- Have a good knowledge of Employment Law & GDPR procedures.
- Ensure all employee personal information is dealt with & maintained with the strictest confidentiality.

Desirable:

- Experience of coordinating a project.
- NVQ administration qualification to level 3 or equivalent.

Pay: £13.66 per hour

Expected hours: 35 per week
