**Job Summary**

As a Personal Assistant/Coordinator you will provide proactive administrative support to our client's in-house commercial and litigation teams in the Legal Department. You will be confident liaising with clients, proactively organising and managing diaries and anticipating the needs of the attorneys as well as taking the lead on tasks to ensure a seamless service is provided. You must have the ability to work independently and under pressure, with high volumes of work and against tight deadlines.

**Responsibilities**
- Undertaking all administration for the commercial and litigation teams in the Legal Department (e.g. providing full, proactive, diary management, coordinating all meetings, distribution of the legal post, photocopying, preparing hard copy documents and headed correspondence (as required))
- Liaising with external and internal stakeholders at all levels as required and, critically, maintaining a professional manner and sensitivity to the confidential nature of the business at all times
- Processing of expenses, purchase orders and invoices for the commercial and litigation teams
- Supporting with any travel requirements and making real-time changes during travel and handling all expenses as appropriate.
- Acting as an initial point of contact, fielding and filtering all general queries, both internal and external
- Organising management meetings, off-sites, training sessions and internal events
- Maintaining department files and records (as required), including keeping legal databases up to date, copying and scanning of legal documents, and maintaining training records
- Assisting with training duties
- Manage all administrative requirements (e.g. organising IT equipment and system access, managing the induction programme) to set up new joiners for the commercial and litigation teams
- Supporting the lawyers with IT hardware or software issues to resolution, through escalation if necessary
- Providing support to other Administrators in the Legal Department (e.g. overflow due to workload and holiday cover)
- Any other ad-hoc duties that may be required to support the Legal Department

**Key skills and experience**
- Previous experience in an administrative role (experience working in a legal team is of interest, but not a pre-requisite)
- Strong interpersonal skills with a professional approach to the role and all tasks - capable of building and maintaining a network of effective working relationships, with ability to communicate effectively across all levels of the business
- Comfortable taking responsibility for core areas of work - self-motivated, proactive and reliable, with a positive "can do attitude" and drive for self-improvement
- Flexible and a team player, with the ability to adapt in an ever-changing environment
- Excellent attention to detail
- Able to pre-empt needs of the individuals the administrator supports
- Strong organisational skills
- Ability to easily and effectively juggle many priorities and competing demands
- Proficiency with: Word, PowerPoint, Excel
