Workplace Experience Coordinator

Job Objectives and Responsibilities:
You will create a memorable and lasting experience by delivering 5* hotel style service to the building users. You will be the first point of contact for all enquiries, and work alongside the operational team to ensure the client's needs are anticipated, and that we deliver above and beyond.
- Be the face of the Workplace team ensuring a seamless end user experience, be a one-stop-shop for all needs and requirements (Connecting in to IT, managing stationary, liaising with Cleaning, Security & Catering if required, assist in co-ordinating events on site)
- Make sure our customers are wowed by the spectacular experience our office has to offer
- Play your vital part in the team making sure all duties are completed
- Be a champion for diversity and inclusion on site

Main Duties to include:

- Provide concierge style service in the Reception area
- Welcome guests to site and check in guests at the front desk
- Meeting and welcoming visitors to site ensuring they know where they are going and what facilities are available to them on the day, helping to ensure their experience of the building is seamless
- Know the building and services available inside out, and be able to make informed recommendations to our clients
- Liaise with our client community adoption colleagues to run engaging club and society events on site
- Support and deliver on site inductions and wayfinding for new user/visitors to site
- To manage the setup of meeting rooms and event spaces, including removal and storage of furniture and equipment
- Conduct regular floor walks and ensure the working floors and communal areas are set up and in line with brand standards, and free of clutter
- Prepare and print signage
- Identify fabric and engineering issues, logging them on the Helpdesk, and informing the client of task progress
- Provide and support a clear line of communication between all team members, both FOH and BOH
- Provide first fix for AV and IT queries
- Manage stationary and office peripherals stock levels
- To respond in a timely manner to all enquiries
- To have an online presence and provide regular updates on the client's internal socials channels

Infrequent Duties:

- Deputize in the absence of your manager or other supervisory positions
- To work in other relevant teams, to fill service gaps
- To assist at any special duties or functions which may fall outside of normal working hours
- To attend things such as courses and training sessions, competitions, trade shows, competitor reviews, as and when required
- To assist in other areas within the site or other establishments as required across the region
- To work alongside other workstreams, eg the catering team, to deliver events and experiences that are literally the talk of the building
