Hours: 37.5 hours per week

Shifts: Monday through Friday between the hours of 08:00 - 18:00

Purpose of the role

The Receptionist is responsible for covering the reception desk, greeting visitors and general clerical office support, as well as handling a high volume of incoming calls.

You will enjoy working a one-minute walk from Haymarket Station with many shops and cafes. The facility has a well equipped staffroom that offer free coffee and tea as well as an enthusiastic Social Committee who host regular events including Boardroom Drinks and Christmas parties. This position offers many opportunities for mentoring and growth

Key Responsibilities
- Answer incoming calls, received on a multi-line phone system, in a cordial, professional and timely manner. Transfer calls to appropriate individuals
- Greet clients and visitors to the office with warmth and professionalism. Notify employees of visitor’s arrival when necessary
- Booking and preparing meeting rooms
- General administrative tasks including processing mail, small print jobs, updating logbooks and schedules, populating data collection workbooks, and processing deliveries
- Ordering, organizing, and assisting with events
- Ensuring that security to the building is maintained in line with guidance and standard operating procedures
- Carrying out reception training for any cover team members and identifying ongoing training needs for the cover team, liaising with the Team Leader as needed
- Provide high level services to staff, clients and guests
- Communicate with manager and client on job or deadline issues
- Handle additional projects as assigned. Handle sensitive and/or confidential document and information

Key Skills
- Minimum of two-year receptionist, switchboard or administrative assistant experience required preferably in a banking, legal or large corporate environment (preferred).
- Exceptional customer service skills to effectively great and communicate with callers and visitors
- Ability and willingness to learn in-depth knowledge of the company (the business and employees) to more efficiently handle calls and great visitors
- Ability to work in a fast-paced team environment
- Ability to effectively and professional communication with co-workers and clients
- Attention to detail with an emphasis on accuracy and quality
- Intermediate computer skills including Microsoft Word and Excel
- Ability to prioritize work to balance multiple projects and deadlines
- Excellent verbal and written communication skills
- Self-motivated and the ability to multi-task
