**Main Responsibilities**
- ** Client Support** - This person is the main administrative point of contact for the entire international digital team with staff based in London, Hong Kong, Abu Dhabi, Lagos and the US. Provide a full range of business operational support that includes a large client group as well as multiple executives. Reports to the Manager, Business Administration.
- ** Expense Management: Ariba and AP London/HK**- Responsible for managing the invoicing process for the international digital departments - High Volume processed. Coding, tracking, invoice processing, vendor maintenance set-up and freelancer agreements. Work with multiple regional invoicing systems. Position may be required to establish and be point of contact for 3rd party vendor relationships, and track contract requirements. Concur - Creates and/or approves all expense reports in Concur for client group ensuring appropriate currencies are used for US, UK, and HK and all costs are justified and in compliance with company policies in various international locations. High volume of expenses processed.
- ** Project Coordination**: Supporting role in special projects and special events. Specific client focused projects assigned as needed. Project Coordination includes ability and experience to completely and smoothly launch/introduce a new digital department. This involves all logistics, significant amount of staff onboarding, training on all systems, set up scheduling and processes working closely with senior management.
- ** Approver** for all petty cash for London digital employees and ensure cash advances are properly reconciled.
- ** Responsible** for overseeing desk/office moves.
- ** Ensure** company is mitigating risk and in compliance with US, UK, and HK regulations in addition to company policies.
- ** Partner** closely with Logistics/Facilities/IT/Bureau Coordinator on the Bureau’s move to Old Street to ensure a seamless transition for all digital teams.
- ** Be present **in the office at least twice a week, and for all important meetings or any other functions aligned with clients.

**Selection Criteria**
- At least 2- 3 years of administrative support experience preferred.
- Must be MS Office proficient: Excel, Word, PowerPoint.
- High level of confidentiality required.
- You should be extremely organized and work efficiently in a very fast paced environment.
- Communication is key in this role so excellent verbal and written communication skills are required.
- You should have excellent problem-solving skills, strong attention to detail and the ability to work independently as well as part of the Business Administration team.
- You should have an ability to prioritize your work so you can handle many projects simultaneously under tight deadline.
- Be flexible, dependable, and results oriented.
