The Children’s Integrated Therapy Service is looking for a full time Administration Lead. If you are looking for a new challenge and have experience working in this area we may be the right team for you. Please note this is a 12 month fixed term post due to a secondment but could potentially lead to a permanent position.
You will be joining an enthusiastic and friendly administrative team who are dedicated to providing the best care possible for our patients and their families.
You will be based at either Abingdon Community Hospital, Oxford City Community Hospital or The Orchard Health Centre in Banbury with the opportunity for some home working. Other base locations may be possible.
The Administration Lead is responsible for managing and co-ordinating the admin support for Children’s Integrated Therapies. You will line manage the Band 4 team administrators who in turn line manage the Band 3 team.
We provide administrative support to the Children’s Speech and Language Therapists, Children’s Physiotherapists and Children’s Occupational Therapists and work closely with the operational and clinical management teams to ensure our provision is supporting all parts of the service.
You will develop and maintain administrative processes and manage the allocation of tasks that form these processes. You will be responsible for creating and implementing administrative systems including electronic filing systems, standard operating procedures and suggesting how systems can be improved.
You will have excellent organisational and communications skills and the ability to manage and prioritise a busy workload. Advanced IT skills are also essential, including Microsoft Excel, Word, Outlook, Teams and PowerPoint.
Our services are provided throughout Oxfordshire via 3 main bases in Abingdon, Oxford and Banbury. Experience of working within a widespread community service and the NHS would be of benefit but if you are quick to learn and have the necessary management and administrative skills we would love to hear from you.

DUTIES AND RESPONSIBILITIES
1. Ensure comprehensive, effective and efficient administration provision for the Childrens Integrated Therapy Service
2. Provide line management to the B4 Team Administrators
3. Develop and maintain admin processes to support all patient pathways into and throughout the
Children’s Integrated Therapy Service
4. Manage the allocation of tasks that form these processes through a reliable and robust Task Rota for the Team Administrators to work to
5. Responsible for creating and implementing administrative systems including electronic filing systems templates, procedures, protocols and suggesting how systems can be improved.
6. Ensure that all documentation for projects is kept up to date with version control.
7. Organise and attend a range of meetings/events at operational and strategic level, providing
support to the Children’s Integrated Therapy Managers
8. Ensure that the relevant papers, reports and documents are circulated to relevant parties prior to meetings and correct records are compiled and stored from meetings
9. To maintain circulation lists and distribute appropriate information via this communication route
10. To manage the therapies administration function financial budget, assuring efficient use is made of available resources
11. Support the Operational Management Team with Health & Safety such as completing Risk Assessments
12. Assist with Building Management responsibilities such as liaising with Estates to ensure works are completed as we require and in a timely manner
13. Responsible for procurement and approval of items received, receipting and invoicing as appropriate to level of signatory (e.g. e expenses and e procurement)
14. To develop and maintain relationships across the directorate services
15. To act as a central point and expert for queries and information on all matters relating to administration in The Service
16. Present information to a variety of audiences, drawing conclusions and implications of results analysis data and supporting the Operational Management Team with the courses of action
17. To cover administrative duties where necessary to ensure the service is supported.
18. To ensure confidentiality of staff, patients and carers is maintained in line with Trust policy.
19. To carry out any other duties as reasonably requested by the Operational & Clinical Managers
