You will be working for a leading Public authority based in the city centre of Belfast.

This role will involve the provision of business and administrative support including word processing, typing, filing and arranging appointments within the unit. You will also assist in providing support and operational cover for other functions.

Your main responsibilities will involve;
providing administrative and secretarial support for the Chief Executive and Office of the Chief Executive as required.

To supervise and manage the performance of staff to actively ensure their development in line with corporate procedures.

To deal with incoming and outgoing calls, process confidential incoming mail and distribute and copy on a daily basis.

To prepare minutes and agendas for meetings and service them as required.

Typing confidential letters and reports( inc committee reports) as directed from hand written notes or digital dictation.

Organising meetings inc refreshments as required

Maintain and develop filing. Request and receive goods on behalf of office.

Assist with production of budgetary information inc maintenance of petty cash float

Booking conference, travel and accommodation requirements for the Chief Executive as required.

Essential Criteria

At least one years experience in each of the following areas:
Carrying out administrative duties which may include diary management inc organising meetings and appointments.

Liaising with senior management and professional officers

servicing meetings inc taking minutes and organising agendas

Special skills and attributes

You also must be able to evidence the following special skills and attributes;
The ability to compose and type confidential letters and memos. To prepare minutes and to draft reports fro senior management.

Able to use Word processing spreadsheets and databases.

The able to prioritise work and make effective decisions to achieve objectives.

To lead a team and to contribute to the success of the team and achievement of objectives.

The ability to be discreet sensitive and maintain confidentiality.

The ability to to establish good working relationships with elected members and senior staff and an awareness of the important day to day public relations.
