Sodexo Live have an exceptional opportunity for a **Planning Administrator** to join our first class team at Ascot Racecourse for a **6 month fixed term contract**

You will be working as part of the team at the iconic Ascot Racecourse where we are committed to providing our guests with an outstanding experience whether they come to race, hold a business meeting, or host a private dinner at our world-class venue.

You will support the Fine Dining & Events Planning Manager in the day-to-day planning and administration for all fine dining and hospitality requirements, ensuring accuracy of information and provide an effective and seamless liaison between the clients’ requests, the sales team, and all operational departments.

You will also work closely with the operational teams to support the delivery of race days and events collating information and processing relevant orders.

***MAIN RESPONSIBILITIES**
- Support the Fine Dining & Events Planning Manager in the day-to-day planning and administration for all fine dining and hospitality requirements, ensuring accuracy of information
- Provide an effective and seamless liaison between the clients’ requests, the sales team, and all operational departments
- Work closely with the operational teams to support the delivery of race days and events collating information and processing relevant orders
- Assist in coordinating ‘on brand’ and compliant collateral, such as menus and wine lists used in Fine dining restaurants, processing guest information and supporting the development of management briefing packs
- Provide administrative support for race days and event hospitality and collate guest feedback during the race day or event, as required
- Ensure that all the processes are in place for each event, so that each client is correctly invoiced and that every sale is captured
- Assisting in the planning of any external 1711 events alongside the FD&E Planning

**THE IDEAL CANDIDATE**

Will have attention to detail, the ability to manage time efficiently, as tasks are time sensitive, the ability to be flexible and react to changing priorities and to be able to respond to Ascot special client requests, offering deliverable solutions to challenges.

You will also:

- Be highly organised, able to prioritise and work to strict timelines, whilst delivering to a very high standard
- Be able to manage multiple changes in customer requirements, ensuring accuracy of data captured and effectively communicating with all relevant departments to meet customer expectations
- Ensure accurate information is produced to allow operational departments to deliver service excellence
- Act as the interface between the Ascot Sales team, guests and operational departments
- Build strong working relationships with kitchen, cellar, operations, accounts, logistics teams and suppliers to ensure requirements are communicated and updated as necessary in a timely manner
- Support a sales team that need guidance on the catering and operational aspects of a booking
- Deliver exceptional customer service over the telephone and in written communication and be able to solve problems as they arise
- Ensure best practice procedures within the planning team are consistently applied
- Be a crucial part of the broader planning team
