Purchasing and Finance Officer

Purchasing Receive regular purchase requests from across the PCN teams including nursing consumables, drugs, stationery, housekeeping etc Manage all ordering, constantly looking to improve systems and produce financial savings Negotiate with suppliers to obtain most appropriate and beneficial deal for the practice for all purchases Make purchases in a timely manner using preferred suppliers Monitor receipt of purchases ensuring deliveries match orders Actively monitor costs, finding and recommending alternative suppliers as appropriate Complete and submit any reimbursement claims in line with necessary timeframes such as to the Prescription Pricing Authority Support adhoc purchases of equipment / quotations for work seeking out competitive quotes Be aware of contract renewal dates for utilities, servicing agreements etc providing information on renewal costs and terms and exploring alternatives as appropriate May take responsibility for certain areas of budget monitoring and control and the production of regular reports to show progress, as agreed with the Business Manager. Finance Officer Input and process financial information, completing routine financial transactions in accordance with procedures Enter all financial data on Quickbooks using appropriate codes Ensure work is completed in line with financial timescales Collate information to facilitate preparation of annual accounts Prepare, make and record all payments - using electronic banking wherever possible Responsible for banking of all cash/cheques received and accurately recording all payments Follow up incorrect or late payments Accurate and timely filing, by scanning to Quickbooks, of paid invoices etc Issue regular and adhoc invoices as necessary, monitor receipt of payments and following up as necessary. Report any issues to the Business Manager. Responsible for the operation of petty cash system and monitoring of petty cash expenditure for both surgeries Respond to routine enquiries from staff/customers and suppliers and investigate queries as required Provides information to manager and colleagues as required, orally and electronically, providing standard reports May be involved in cashflow monitoring Responsible for private work income reconciliation and ensuring that all activity undertaken is claimed for and paid, specifically relating to cremation forms and all reports / forms.
