We're looking for a Team Administrator with a passion for making a real difference to patients. Could this be you? Based at East Oxford Health Centre, but running a countywide service, the Adult Speech & Language Team look after patients with both communication and swallowing issues. We work closely with GP’s and acute and community hospitals to assess and treat patients who are struggling with their diet and/ or with their speech.

Looking for an efficient, caring administrator who wants to make a difference. Someone who likes being a part of a small, friendly, highly efficient admin team in a fast-paced environment,

Processing all incoming referrals, acute transfers, medical reports, queries.
Working as part of a small enthusiastic, admin team to support our team of therapists.

To support and facilitate the delivery of high-quality clinical service team in an administrative capacity as required. The post holder will have direct contact with clinical service team members (medical and non-medical), public, other administrative and support staff within the organisation; has a range of external contacts across health (acute and community), local authority, primary care staff and patients and the voluntary sector. They may at times be required to receive complex/ sensitive information appropriately and process according to local policy.

To work as a supportive member of the team providing comprehensive administrative support.

To accurately type and distribute correspondence, and with other documents to deal with all aspects of data processing where training has been provided.

This job description outlines the roles, duties, and responsibilities of the post, it is not intended to detail all specific tasks.

To provide administrative and secretarial support which enables the team to operate efficiently and effectively. Including:
Prioritising workload accordingly following the process/ policy outlined locally, so working independently but under the management of the Band 4 Lead Administrator

Answering the team telephone, taking, and recording messages accurately and responding to queries appropriately.

Accurately typing and distributing correspondence, action notes, minutes and other documents as required,

Using a range of software systems to support the delivery of the service,

Arranging Therapists appointment bookings and maintaining diaries and diary conflicts Undertaking general office duties as required,

Using electronic ordering system to maintain office supplies,

Contact patients, carers and care homes to make appointments and ensure that the correct administrative process is undertaken/ followed up,

Operate electronic systems appropriately in relation to clinical records and electronic diaries,

To maintain an ordered office environment

To contribute to/ attend the locality meeting of other administrative workers periodically, and to contribute to reviewing current office practice, where applicable.
