You will be based at our Glasgow Head Office but will also support our other business, Little’s Funeral Services, which has two branches based on the South Side of Glasgow.

As Office Administration & Facilities Executive, your role will be to provide an efficient, effective & professional support service to the Glasgow Head Office & Funeral Services Teams to ensure the smooth running of the offices. More specifically this support will include, but is not limited to:
1. Assisting with general admin tasks such as monitoring stock levels of stationary & consumables used by employees & placing order with suppliers, coordinating documentation for large events, coordinating annual data checks and ensuring employee information is maintained and up to date. This will include maintenance of company organisation charts.

2. Assisting the Senior Management Team with diary management, booking of flights and hotels and other day-to-day admin tasks as required by them.

3. Administration on a daily basis of one of our brands, Vouch For That, a distributor of gift vouchers for luxury hotels. This will involve packaging and posting the vouchers, answering clients & guest enquiries, and completing reports for our clients on a monthly basis.

4. Looking after general maintenance requirements, health & safety and the overall working environment to maintain a safe, clean and tidy work environment. You will be responsible for:

- Identifying & resolving building maintenance issues.
- Working with the Heads of Departments to address internal space requirements and to plan/organise/assist with an upcoming office refurbishment.
- On-site co-ordination of internal moves within the office and ongoing team changes and the maintenance of floor plans.
- Identifying defective office equipment and arranging for repairs to be carried out and replacement equipment ordered if required.
- Upkeep and review of Manuals, Handbooks, Guidance notes etc including the staff handbook.
- Managing fire wardens and first aiders and assisting with scheduling training and refresher training as necessary.
- General ‘housekeeping’ to help maintain a clean and safe working environment including maintenance of kitchen areas ensuring they are clean and tidy.

To be successful in this role, you should be a quick learner who is solutions driven, self-motivated and has good problem-solving skills. You will be working across all departments, so you need to be a confident communicator and be able to manage your time effectively.

You should have excellent attention to detail, be very organised and have a good working knowledge of Excel.

Prior experience in a similar role is preferred but not essential.

The position will be office based at our Headquarters in Glasgow and ordinary working hours are 9am to 5pm Monday to Friday. Some flexibility to work outside these hours during busy periods may be required.
