Guest Communications Coordinator

The Guest Communications Coordinator will support and lead at times in the development, maintenance and reporting of all data relating to guests attending The iLUKA Collective’s global event.
This is a contract role starting 1 April 2024 until 31 July 2024, this role can be based remotely or in the iLUKA Office, we are open to applicants from the UK and Germany (The event is based in Germany). This role may require you to be onsite during the event.
Key Responsibilities

Using The iLUKA Collective bespoke database (Pulse), manage data and produce regular reports for clients, service providers and client teams
Develop and manage professional working relationships with the client, service providers and Client teams to ensure clear and open lines of communication
Communication with all relevant parties any data changes as necessary
Production of guest correspondence, adhering to client & The iLUKA Collective guidelines
Manage guest queries in a prompt and professional manner
Manage the distribution of regular operational reports
Assist in the training of event time staff
Adhere to General Data Protection Regulation (GDPR) and other event location Data Regulations

This is not an exhaustive list and all team members will be expected to contribute to any other aspects of the business, as necessary.
Skills, Knowledge, Expertise

Fluent in English (German an advantage)
Excellent IT skills - advanced knowledge of Office, Word, Excel and PowerPoint
Experience in using systems
Ability to prioritise a demanding workload
Strong time management skills with ability to meet strict deadlines
Proactive, positive approach to all tasks and a high degree of reliability
Organised with an analytical background and an eye for detail
