Office Coordinator/receptionist

We specialise in Utilities (Power, Telecoms, etc), Civil Engineering, Traffic Management, and infrastructure. We have grown our business on a foundation of expertise, teamwork, and excellent customer service.
An exciting opportunity have arisen for an Office Coordinator/Receptionist in our HQ in Livingston
You must be a resident in the UK at the time of this advertisement and hold necessary paperwork to prove this.
**As Office Coordinator/Receptionist you will be responsible for**:
Creating, editing and updating spreadsheets
Welcome visitors and internal employees with a cheerful disposition.
Ensuring foyer is maintained - visitor book and passes.
Answer calls and manage mailboxes relating to customer complaints professionally and considerately. Liaising with operations to solve the complaints and updating the log.
Maintain office equipment (ensuring copiers are operational and fully stocked with toner, paper, etc.)
Monitor office supplies (Stationery) and place orders.
Arrange and manage conference/meeting as required.
Ensuring a clean working environment, by managing Cleaners contract
Raising transport PO's and receipting in DN's and file
Tracking and recording of Diesel consumption by cost centres. Reporting and comparing month on month
Raising PO's for Ad-hoc purchases as per requisition process (Accommodation, travel, credit card purchases)
Maintain safe office environment - PAT Testing, Fire extinguisher maintenance
Point of contact for all property lettings - maintenance issues etc
Petty cash control
Processing invoices to Finance department
Manage the Strike Claims mailbox, liaising with relevant Utility providers, and sending out letters of indemnity.
Conforming with all company policies.
Other duties are required.
**Skills & Knowledge required**
Previous working experience as an Office Coordinator and/or administrator
KPIs must be understood and delivered.
Outstanding communication and interpersonal skills
Excellent organisational and time management skills
Multi-tasking
Pro-active problem solver
Sage experience (desirable)
M.I.S experience (desirable)
Able to work well under pressure
Keen attention to detail and accuracy
Good communication, interpersonal and influencing skills
Previous experience within a fast paced environment.
