Main responsibilities of the role will include the provision of effective and confidential reception duties including answering telephone calls, use of clinical IT system, meeting/greeting of all patients and visitors in a polite, calm and approachable manner.
Other duties will include the management of the patient documents, data input and at times some administrative/clerical support to the clinical and management team.

**Overview of your organisation**
Goldsworth Medical Practice is a high performing forward thinking and friendly GP training practice with a strong ethos of continuity of patient care, team work and peer support.
We have a list size of circa 13100 patients, use EMIS and our most recent CQC rating was GOOD. We operate on a mixture of clinical triage, multidisciplinary working and customised sessions.
Our practice employs a wide MDT that shares the GP workload and currently comprises our experienced GP Partners, Salaried GPs, Nurse Manager, Advanced Nurse Practitioner, Chronic Disease Specialist Nurses, HCA's, Physician Associate and Clinical Pharmacists who work across both of our sites.
To provide reception and administrative support to assist in the day to day running of the practice.
As part of the reception team the post holder is employed to undertake reception and administrative duties as deemed suitable by the practice manager. The role involves dealing with patients via the telephone and face-to-face as they come into the practice. The post holder is required to use the practice computer system and software. They are required to have good computer skills, along with the ability to organise and prioritise a varied workload in a timely manner.
The post holder is required to act in a professional manner at all times and adhere to a strict confidentiality policy, as well as other practice policies and guidelines. It is their responsibility to familiarise themselves with the practice policies.
1. Training
Training is predominately in-house and forms part of the internal receptionist/administrator training programme. Training and development requirements will be monitored by a yearly appraisal. Personal development will be encouraged and supported by the practice.
2. Accountability
Although accountable to the Partners of the practice through the practice manager, as an employee you are ultimately responsible for your own actions and must ensure that limitations are always acknowledged.
3. Meetings
It will be necessary to attend various meetings as requested. The only reason for not attending will be annual, study or sick leave.
4. Liaison
Receptionists/Administrators will be expected to communicate and liaise with all other Health Care Professionals.
PRIMARY DUTIES & AREAS OF RESPONSIBILITY
Reception Duties:
Greet all patients on arrival.
Answer the telephone: dealing with or redirecting enquiries.
Handle general enquiries, referring on where necessary.
Make new and follow-up appointments.
Accept messages for the Practice Manager and Doctors.
Record requests for home visits and contact the duty doctors with late calls.
Clerical Duties:
Open mail and distribute as appropriate and follow protocols for insurance reports, disability reports and requests for copies of medical records, Scanning, workflow system.
Able to do DOCMAN workflow tasks and EMIS tasks given by Clinicians.
Prepare computerised repeat prescriptions following practice protocol and set out for verification and signature by doctor (Electronic & Manual )
Scan hospital letters and results into patients medical records.
Extract information from computer to assist in completion of target returns to NHS England.
Complete appropriate registration forms, referral forms as necessary and Maternity / Medical exemption forms.
Maintain computer database.
Make appointments for hospital transport.
Maintain supplies of stationery available in reception area.
Phone hospitals to obtain patients results and follow up appointments.
Contact patients regarding their test results
Accept delivery of vaccines as per practice protocol.
Record temperature readings of vaccine fridge as per practice protocol.
General Duties:
Log into telephones and check all consulting rooms for adequate stocks prescriptions and blood forms.
