**Do you have experience in Facilities management, than this position may just be for you. We are looking to add to our team for a Facilities Admin Support person to work for out Client based in Slough. Interviews will be held over Zoom.**
The working hours will be:
Monday-Thursday 8am-16pm
Duties will include but not limited to:
- **Job description**:
- Liaising with third-party suppliers / contractors/ vendors
- Overseeing contractors whilst on the premises
- Manage the facilities tracker for all site-related service contracts and ad-hoc requirements
- Organise incoming and outgoing post
- Management of Reception and facilities inbox
- Ordering office supplies and consumables, obtaining quotes and replenishing stocks in the office
- Book H&S training courses and maintain a register
- Equipment ordering
- Distribute H&S signage & materials
- Carry out site tours as part of the induction process
- Supervise cleaning staff and maintain standards
- Organise all servicing requirements PAT test, Fire Extinguisher etc.
- Management of office seating plan according to starters and leavers
- Maintain both soft and hard filing systems, ensuring consistency and supporting the management team where required
- Evaluating and carrying out risk assessments where required
- Where applicable, meet & greet including organising appropriate hospitality
- Work with HR to co-ordinate well-being events and office lunches
- Car Park management, ensuring all new starters/visitors receive car park instructions
- Maintenance of office equipment i.e. coffee machine, mini-fridges, Billi tap, tables/chairs etc
- Arranging and managing monthly office networking events/coffee morning
- Develop own audit process as a preventative maintenance measure
- Keep a record of all facility functions completed
- identify issues or areas for improvement within existing processes and highlight them to the Facilities Manager.
- Ensure all Health and Safety equipment (first aid boxes and defib) are viewed monthly/yearly
- Ensure monthly legionella and emergency light testing is conducted and audited
- Manage and maintenance of the subleased area
This position is for an immediate start to allow full training to be given.
