Job Title: Facilities Administrator

We are seeking a highly organized and detail-oriented Facilities Administrator to join our team at Macro Group.

About the Role

This part-time position involves providing administrative support to our Facilities Management team, ensuring the smooth operation of our facilities.

Main Responsibilities
  • Provide administrative support to the FM team, including coordinating routine maintenance and managing facility budgets.
  • Keep security records up-to-date and generate monthly access control reports.
  • Manage parking permits, car logs, and visitor hosting.
  • Create and issue access passes, business cards, and ID cards.
  • Manage CCTV systems and assist in security and H&S audits.
  • Conduct cleaning audits on UK sites, including site visits, and maintain the main kitchen area.
  • Order and stock check kitchen and cleaning consumables for all UK sites.
  • Support the team on contract, lunch, holiday, and sickness cover for reception and post room duties.
  • Assist in raising purchase orders and onsite contractors.
  • Manage and complete DSE assessments and maintain COSHH and datasheet records.
  • Support admin tasks, record keeping, archiving, and team folders.
  • Assist during events, catering, and setup, and provide AV audio visual support.
  • Complete required ongoing training courses and provide regional support for invoicing and PO processing.
  • Cover the workplace coordinator when required.
Requirements
  • Previous experience in an administrative role.
  • Able to work as part of a team or as an individual in varying environments.
  • Good level of IT literacy around Word, Excel, and PowerPoint.
  • Good organization skills.
