**About the team**

When you join Adaptavist’s Business Services team, you’ll be joining a fun, collaborative and supportive team that consists of other Executive Assistants and Travel Coordinators. Most of the team members are based in the UK at the moment. We are looking to grow the team both in Malaysia and in the UK region.

As a Travel Coordinator at Adaptavist, you will help organise, book and manage the travel requirements for the whole company. You will work closely with our team of Executive Assistants as well as our Marketing department.

This position will be pivotal in helping the business grow, and continue to move fast by ensuring the right people are in the right place at the right time. We're a global business with events and client meetings happening all over the world.

**What you'll be doing**

**Travel Booking**
- Responsible for managing travel and logístical bookings across the whole company.
- Produce detailed itineraries for team and client trips and meetings when required.
- Build relationships with airline and hotel providers.
- Continually evaluate providers prices, always striving to reduce costs to the business.
- Ensure all sensitive data is securely stored and managed.
- Provide professional communication and an excellent level of customer service to all employees in the business.
- Manage the reconciliation of all payments and expenses and the spend schedule with the Finance Team.
- In a timely manner, escalate concerns to senior team members about any tickets raised that have timings, geographical or budget issues that will make the request impossible.
- Work closely with the Events and Marketing team to book all travel associated with our events.

**Finance Support**
- Manage new supplier forms, invoices, credit card payments and expenses.
- Continue to nurture our relationship with the Finance Team, understanding their pressures and always ensuring we are giving them what they need from us on time.

**What we're looking for**
- Ability to work within a fast moving team and company fast paced team and company.
- Strong communication skills and excellent attention to detail are essential.
- Strong time management skills; able to prioritise and organise a varied work schedule.
- Willing and able to travel internationally when required.
- Prepared to work outside of standard working hours when projects and events demand it.
- Ability to build strong relationships with travel partners.
- Pragmatic approach to problem solving.
- Previous experience with project management tools such as Jira, Confluence and Slack is desirable.
