Clerical Officer/ Support Secretary

An exciting opportunity has arisen within Warrington and Halton Teaching Hospital Foundation Trust for a Administration support / Secretary to join our Cardiac Rehabilitation Team.
The post holder will be required to work 22.5 hours a week over 3 days to be agreed. The post holder will be required to work within the Cardiac Rehabilitation Team based at Health Services at Wolves and at Halton Hospital. The post holder will also support the wider team of health care professionals, to ensure that patients receive optimal care in keeping with evidence-based practice and ensure that patients and carers receive appropriate treatment, and support.

Specific responsibilities will be to support the Therapy Clinical Specialists who work within Cardiac Rehab.
- Provide a comprehensive administrative support to the Warrington and Halton Cardiac Rehabilitation Service.
- Be involved in the referral system for patients, will support 10-day post discharge assessments, collate initial referrals into the service and provide reports.
- Assist with organisation of appointments and workload management.
- Provide dictation support for clinical review letters and reports.
- Be responsible for ordering of stock items ensuring that stock levels are maintained.
- The post holder will actively participate and contribute to the service development.
- The post holder will assist with organisation of team diaries and workload management.
- To input data into the National Audit for Cardiac Rehabilitation (NACR).

Communication
- To provide a full, accurate and efficient secretarial service.
- To communicate in a clear and precise manner with colleagues and users of the service by means of verbal and non-verbal communications.
- To receive team/directorate documents and read the contents of the team brief on a monthly basis.
- To attend staff meetings or read the minutes of staff meetings and put into effect any actions as appropriate.
- Exercise judgement and initiative when problems arise by taking appropriate action to resolve the problem or by escalating or cascading to the appropriate person.
Production and Communication of information and Knowledge
- To produce agendas and relevant documents, including directorate leaflets; take, transcribe, type and distribute minutes of team meetings.
- To organise and facilitate team and external meetings when required, ensuring dates and times concur with members’ diaries.
- To use electronic and manual communication systems to provide and distribute information on behalf of the team.
- To take and receive and screen telephone messages on behalf of team and to deal efficiently with queries.
- To provide departmental cover for reception duties and answering general queries from visitors to the department.

- to book patient appointments and organise patients attending for programme/treatment.
- To type all correspondence information relating to patients as required.
- To monitor and generate items to replenish stock as required.,
- To undertake general photocopying, distribution and mail duties as required.
- Operate a bring forward filing and retrieval system as required.
