This is an anchor role in a busy office, so does require an office presence full time. However, we do operate a flexible working policy (for work/life balance) and have many benefits which support colleagues in their lives outside work.
**Key responsibilities**:
- Meeting and greeting internal and external visitors to the Glasgow office ensuring they are welcomed and looked after in a professional manner
- Provide a responsive, efficient, and courteous corporate switchboard service to support the Idox business
- Ensure the smooth running and upkeep of the Glasgow and other relevant Idox offices with everyday operational activities, maintaining strong relationships with building management and suppliers, arranging repairs as required
- Facilitate & monitor H & S requirements for relevant Idox office locations, ensuring procedures are adhered to, safety checks e.g. PAT Testing/Risk Assessments are completed and issues escalated to Senior Management where appropriate
- Manage office supplies and services including door passes, kitchen/cleaning supplies and stationery, maintaining stock levels and reordering appropriately for all Idox Office locations
- Deal with incoming and outgoing post/courier items requests
- Raise purchase orders to suppliers in the group’s Agresso system.
- Day to day administration of the corporate mobile phone contract, the Idox preferred Travel booking system and other corporate services as required
- Book meeting venues and any supporting services as requested
- Provide regular and ad-hoc operational and management reports as requested
- Assist other team members where required especially at busy times and take on other duties, with training, to cover for absent colleagues
- Provide a proactive and confidential administrative service assisting employees and managers as required
- Adhere to Idox Information Security & Management System Policies
- Any other duties as defined by management.
**To be successful, you’ll need to bring**:
**Essential**
- Excellent telephone manner
- Good interpersonal skills with a high level of professionalism and a desire to provide excellent customer service both externally and internally
- Good organisational skills, accuracy and attention to detail
- Good IT skills; must be competent with Microsoft Outlook, Excel and Word
- Ability to communicate and interact with staff at all levels and work under pressure while maintaining efficiency and effectiveness
- Ability to prioritise work effectively
- Ability to work independently and to identify and resolve problems
- Proactive and flexible - able to respond to changing demands and willingly take on additional responsibilities as required.
**Desirable**
- Previous experience working in a similar role
- Experience using the Agresso ERP system or similar enterprise planning database.
