**The Role **Reporting directly to the HR Manager the successful applicant will be the first point of contact, creating a welcoming experience for all visitors to Marine Specialised Technology Group both in person and telephone. Responsible for reception duties and supporting the HR business requirements, they will be an integral part of the team with a varied workload responding promptly and in an efficient manner to assist colleagues at all levels to a high standard.

**Responsibilities**

**Reception Administration**
- Welcoming, signing in and issuing badges to all contractors and visitors to the building
- Giving contractors and visitors entry via secure door
- Opening, sorting and distributing all incoming mail and parcels
- Maintaining internal phone lists
- Order and monitor stationary supplies/meeting rooms consumables
- Replenish photocopier/printer/shredder daily
- Booking travel for employees (UK and abroad) including preparing travel packs for trips
- Responsible for the signing in/out of cameras and company mobile phones
- Booking meetings and keeping the meeting rooms in a clean and tidy condition
- Ordering lunches for meetings
- Requesting purchase orders for orders placed
- Laminating, collating manuals & binding documents/scanning/photocopying/shredding/filing
- Log tickets to external IT provider as required
- Maintaining key register and fire lists
- Ordering and issuing employee uniform
- Recording use of company vehicles and arranging valets
- Maintaining excel spreadsheets for vehicles, travel, taxi bookings and uniform
- Arranging and monitoring company (and hire) vehicle insurance/MOT/road tax etc
- Provide employees temporary USB access

**HR Administration**
- Onboarding new starters, obtaining references, providing starter pack including company handbook
- Processing new starters and leavers in HR systems and updating employee folder
- Issuing employee ID cards
- Security vetting (BPSS & SC) of employees and updating HR systems with reference number
- Performing GDPR check of onboarded employees once DBS is complete
- Recording absences in HR systems and updating employee folder
- Providing managers with return-to-work forms and processing information upon return
- Order optical lens vouchers for employees
- Monitoring Driver Licence portal (Licence Bureau)
- Communicating absences on the employee notice to the business
- Updating employee folders with documents such as certificates, contracts, Death in Service, training requirements
- Maintain excel spreadsheet register of training certificates
- Assisting with printing and processing paperwork (forms, handbooks, appraisals)

**Competence Knowledge and Experience**
- Minimum 12 months HR admin experience and understanding the role HR has in a business
- Have significant self-motivation and initiative with the ability to manage own workload and work with minimum supervision
- IT literate with excellent working knowledge of Microsoft Office
- Excellent written and oral communication skills
- Being trustworthy with a high level of integrity is a key requirement to handle the confidential and sensitive information
- Exceptional attention to detail and organisational skills
- Ability to work supportively as part of a team and with a friendly and approachable personality and a polite, empathetic manner
- Ensure that Company Health & Safety regulations are met
- Offer support to fellow co-workers
