INTO City are seeking a dedicated and organised PA/Office Coordinator to join their busy team and support the smooth operation of our Centre in London.
As the PA/Office Coordinator, you will play a pivotal role in ensuring efficient administrative and organisational functions, reporting directly to the Centre Director.
You will need to be familiar with the organisational structure and to have a good understanding of the working relationships across the organisation and within the partner University.
**Key Responsibilities**:
**Administrative Support**:
- You will provide support to the Centre Director
- scheduling appointments and meetings where necessary, liaising with key INTO, University and external stakeholders.
- You will provide administrative support where necessary, dealing with incoming correspondence on behalf of the Centre Director handling as appropriate.
- Assist the Centre Director with the production of presentations, documents and briefing papers.
- Carry out background research and present findings where necessary into areas the Centre Director is dealing with.
- Prepare reports and materials for presentations/meetings and liaise with staff to supply data as required.
- Provide flexible support to deliver tasks/initiatives as they arise.
**Office Coordination**:
- You will welcome and look after visitors on behalf of the Centre Director and other members of the Senior Management Team.
- Arrange travel and accommodation for the Centre Director and member of the Senior Management Team as required.
- Develop and maintain relationships with key stakeholders across the INTO and University network.
- You will monitor and order office supplies and stationery.
- Maintain and continually develop the online filing system (SharePoint) for all staff areas and Senior Management Team.
- Prepare and lead in the development of internal communications for staff in the Centre, and within INTO and the University.
- Communicate and implement INTO City policies.
- You will take part in organising and scheduling INTO City events and activities.
- Liaising with INTO London Middlesex Street staff, including attendance at Operations Meetings, to ensure effective communication to INTO City staff on building and facilities updates.
**About you**:
You will have proven experience as a PA/Office Coordinator working in a busy environment.
Communication is a vital part of this role, so you will have excellent written and verbal communication skills.
You will be able to take meetings minutes with the ability to effectively summarise meetings and taking action notes.
You will have remarkable organisational and prioritising skills.
