Working as part of the Finance & Business function within HMP & YOI Stirling, the post holder will be responsible for the provision of administrative support with a specific focus on collation of detailed information on all prisoners using the Prisoner Records system (PR2), Microsoft Office, SharePoint and paper based files to ensure prisoners are properly allocated to purposeful activity within the establishment.- Responsibilities- Allocate and book prisoners onto purposeful and industry activities and design daily regime schedules- Provide an effective and efficient general administration service; ensuring electronic and paper based communications are actioned appropriately. You will also contribute towards the effective maintenance of electronic/paper based filing and data recording systems, including Prisoner records, ensuring compliance with Data Protection Legislation, Information Security and SPS Guidelines- Ensure prisoner wage sheets are accurately completed and distributed within recognised timescales prior to passing to PPC & Wage Admin, preparing and distribute daily attendance sheets within the establishment.- Liaise and communicate clearly and accurately with both internal and external partnership agencies, responding to follow up enquiries sensitively, timeously and professionally.- Responsible for the collation and analysis of related statistics and subsequent generation of management reports- Carry out any other duties as required, including cover for other administrative functions.**Person Specification**
- Qualifications Requirements- Two national five qualifications, including English and Maths/Arithmetic or relevant administrative experience. (Essential)- Experience Requirements- Competent in the use of Microsoft Office packages such as Word, Excel, Outlook (Essential)Previous experience in an Administration or Regime scheduling role (Essential)
- Knowledge Skills Requirements- Ability to plan, organise, prioritise and manage workload in order to achieve results within strict deadlines. (Essential)- Ability to use strong communication skills to build positive working relationships with internal and external partners. (Essential)- Ability to analyse, interpret and report on a range of information ensuring accuracy and attention to detail (Essential)- Understanding of relevant policies and procedures and legislation including a working knowledge of GDPR (Desirable)- Selection method 1- Interview
