**Location**: YPAS, Central, South, or North Hub

**Job Purpose**:

- To provide clinical administration to support the Mental Health Support Team (MHST)
- To work as part of the YPAS clinical administration team to ensure the smooth running of YPAS’s YIAC (Youth information Advice and Counselling) service.

**Responsibilities and Duties**:

- To work alongside an additional 2 clinical administrators as part of the Mental Health Support Team (MHST)
- To administer the referrals placed with the MHSP
- To work closely with the Educational Mental Health Practitioners (EMHP) in support of children and young people’s (CYP) needs an presentations
- To work closely with the specialist CAMHS practitioners as part of the MHST
- To liaise with schools in support of the referral made into service
- To work within an accessible referral pathway that allows increased access to mental health support in schools
- To liaise with children, young people and families (CYPF), arrange appointments and allocate cases to EMHPs accordingly
- To triage referral documentation, considering the identification of risk factors at all times.
- To ensure the referral documentation is completed and accurate
- To receive and retrieve telephone calls/messages made to the service and allocate accordingly.
- To identify the availability of EMHPs, in response to allocation of appointments.
- To maintain an effective dairy appointment system, in response to the availability of EMHPs.
- To work within a comprehensive communication framework in response to referring agencies, internal services, including CYPF
- To assist in the gathering and recording of statistical information for monitoring and evaluation purposes specific to the EMHPs
- To collate and circulate relevant administration documents to EMHP as and when required
- To input all data from referral to allocation onto YPAS CRM system
- To administer a consistent approach to a range of differing projects and services.
- To identify areas of need for the service in terms of creative administrative thinking.
- To assist the EMHPs with the identification of appropriate resource gaps.
- To provide weekly updates on the service’s referral data.
- To minute MHST staff meetings
- To work closely with external cross sector services in relation to the needs of children and young people.

**Shared Tasks;**
- To adhere to all health and safety regulations
- To adhere to all YPAS policies.
- To actively participate in the evaluation and quality assurance of the service.
- To share knowledge and skills through training as and when required.
- To engage with all YPAS services and team members

**Support and Supervision;**
- Six weekly line management supervision
- Monthly external/clinical case-load supervision.
- Staff meetings
- Skill share meetings
- Staff Conferences
- Counselling and Psychotherapy Service Development Days
- KIT meetings during probation period

**Information Governance**:
You are required to familiarise yourself with the charity’s Information Governance
Policy and adhere to all related policies and procedures included in the staff induction.

**Essential Qualifications**:

- Counselling Qualification _(minimum - intermediate level)_

**Essential Experience**:

- At least 1 year’s administration experience.
- Experience of speaking and listening to young people’s needs.
- Experience of working with Microsoft Office, Outlook, Excel and Databases
- At least 1 years’ experience of working within a young person’s setting.

**Essential Knowledge**:

- Quality Assurance
- Issues that affect young people today

**Essential Abilities/Skills**:

- Work creatively as part of a multi disciplinary service
- Time manage prioritise and organise own work
- Monitor and evaluate systems
- Flexible approach to work
- Hold effective team work/interpersonal skills
- Communicate effectively, both oral and written
- Work towards deadlines.
- To be computer literate
