**OSS Business Support Administrator**, North Wales Police**

The role is responsible for providing administration support to the Operational Support Services area, assisting with the needs of the OSS Senior Management Team, Inspectors & Managers. You will also be expected to support the maintenance of the Chronicle computer system. To ensure that all supporting processes, documents and information is accurately recorded - thereby ensuring accurate data is available to provide timely management information in relation to business requirements.

**Here are some of the accountabilities of the **OSS Business Support Administrator** role**:

- To provide administrative support to the OSS SMT and Management Supervisors across OSS and dealing with all incoming/outgoing correspondence, telephone calls and general admin
- To manage and maintain all modules on the Regional Chronicle system in collaboration with Cheshire Constabulary. To ensure that documentation received across all modules, including command logs are recorded and correctly filed in line with the Regional Chronicle guidance. To monitor and review missing documentation and chase up with relevant officers and liaise with supervision to escalate when necessary to ensure accurate records.
- Manage the OSS SMT diaries to include making all necessary appointments, meetings arrangements and travel and accommodation bookings as required. Including booking venues & ensuring the relevant people are requested to attend.
- Arranging meetings, taking minutes, actions, and preparing agendas for the SMT and Management Team Inspectors and Supervisors as required.
- Provide a daily reception service at NWP bases.
- Organising staffing contacts for Daily Situation Report.
- Arranging Briefing Officer cover for OSS officers.
- Liaising with External Agencies to arrange all relevant meetings on behalf of SMT.
- Provide administrative support to the Drones Unit and recording all relevant information on Centrix
- Provide administration support to Inspectors, Sergeants and Staff Supervisors across OSS as required.
- Responsible for management of Pre-loaded cash FIM credit card and monthly reconciliation. Arrange payment to load funding onto card. In charge of FIM safe and confidential papers. Ensuring audit procedures are followed and countersigned every week/month.
- Maintain general stationery and equipment supplies for OSS, ensuring stock is recorded, monitored cleaned for reissue and maintained.
- Provide resilience in the OSS administration team

**What will I need to be considered for this **OSS Business Support Administrator** role?**
- Demonstrate good IT skills, demonstrating experience of using Office 365 including Microsoft Word, Excel and Outlook.
- Demonstrate ability to produce high standards of documentation to ensure accuracy and thoroughness in recording processes and procedures.
- Demonstrate the ability to provide guidance and advice to users to influence and promote best practice and maximise efficiency.
- Demonstrate well developed verbal, written and interpersonal skills, to communicate confidently and effectively at all levels, whilst maintaining good working relationships with a diverse range of people.
- Demonstrate experience of the provision of management information.
- Must be prepared to undergo an enhanced level of security vetting and pass that vetting, due to the sensitivity of the role.
- The ability to liaise with external agencies and internal departments that includes communication via the telephone and in written format.
- Ability to work with mínimal supervision and use own initiative.
- The ability to work under pressure remaining calm and constructive.
- The role is one that necessitates discretion and persons who are self-motivated.
- The use of Information Technology to an intermediate level that includes inputting/typing skills to at least 35 wpm.
