**Key Responsibilities**:

- To administer daily orders and enquiries for the contract department
- To co-ordinate and facilitate communication of sales admin activity
- Ensure smooth running of sales admin function
- Ensure service levels and customer service standards are maintained to the highest level

**Key Relationships**:Customers, Sales & Marketing Director, Director of Global Business Development, Customer service manager, Sales team and HCB Management team, Purchasing, Manufacturing & operations teams, Line Manager, Admin colleagues, consumers

**Purpose of the Role/Role Overview**

To ensure orders/pro-forma and quotations are processed in a timely manner and information is

communicated to the customer and the Key Account Managers in a professional, effective manner and timely manner.

**Responsibility**: To deliver a best in class customer service, putting the customer at the heart of what we do.

**Operational responsibilities**
- Day to day workload of sales desk, processing orders and enquiries via integrated management system
- Provide quotations to customers within agreed guidelines
- Monitoring and progressing of quotes and pro-formas
- Book-in customer deliveries
- Compile export documentation
- Comply with legal and company Health & Safety rules and guidelines
- Gather production lead times for standard products and management of delivery to meet customer timescales
- Gather product cost prices and add-on costs, manage and negotiation with the area manager the sell price for quotation
- Assist and raise quotations for project sales enquiries and support in maintaining physical and electronic project files
- Sale & admin support for sales team, via ‘buddy’ scheme
- Work closely with ASM buddy to ensure they are kept up to speed on all key projects through the life cycle of the sale
- Raise any customer issues, pricing queries and provide general feedback to line manager ASMs
- Monitor blocked orders, and chase payments
- Follow up provisional orders and quotations to secure conversion
- Raise opportunities, chase the opportunities with the customers and progress through to sale.
- Communicate information across the sales teams internally and externally as required
- Support and implement systems and methods to improve the quality of customer service provided
- To improve working processes

- Work closely with and build customer relations with ASMs and key accounts.
- Support and assist cover and administer orders and enquiries of team members and ‘buddy’ area during busy and holiday periods
- Process Guest Buy’s the Bed complaints and calls, dealing with arranging replacements, refunds and Home serve visits and updating the customers with actions.

**Maintaining high levels of customer service**
- Liaising and building rapport with all departments across the group
- Proactively recognize up-selling opportunities and match potential sales to customer in order to increase revenue
- Keep Team Leader informed of any threat to the achievement of objectives or targets with proposals for their solution
- Highlight procedures where change is required and support the implementation
- Act in an empowered way ensuring excellent customer relationship management, adding value wherever possible

**Standards of performance**
- Ensure all enquiries or complaints are resolved to a satisfactory conclusion
- Records, orders are kept updated with notes of all relevant information informing ASMs as required
- Ensure that product knowledge is kept up to date and of a high standard
- Be an expert user of the computerised systems
- Maintain good time/task management and self-discipline
- Maintain a mature approach to the job role and achieving targets
- Recognize pressure points within workloads and communicate to line manager highlighting risk in completing the tasks in a timely manner
- Take responsibility and ownership of tasks seeing them through from start to completion

**Additional Duties**
- Assist with any customer visits to the Castle Donington Showroom
- Attend Trade Shows where appropriate and represent the business in a smart, professional manner at all times
- Customer visits as required

**Qualification/Skills**:

- Intermediate in Microsoft Excel, PowerPoint and Word
- Highly Numerate/Analytical
- Ability to work at speed in fast paced, pressured environment
- Strong written and verbal communication skills at all levels internally and externally to the organisation
- Able to build a rapport with contacts
- Self-motivated with the ability to problem solve
- Understand basic spreadsheets
- Understand the HCB selling story
