It is a marquee event in the global sports and leisure calendar. Ascot hosts around 600,000 racegoers a year across 26 race days, 300,000 of whom come to the five days of Royal Ascot. Royal Ascot capacity can reach an attendance of 75,000 on a day. Ascots conference and events business welcomes a further 200,000 customers a year outside racing. Ascot aims to offer its racegoers something for everyone who wishes to be involved, and Royal Ascots offerings reflect this through the entry level Windsor picnic enclosure, the mid-tier Village enclosure, the central Queen Anne Enclosure and ultimately the Royal Enclosure. And incorporating up to 7000 racegoers in a wide range of private box and restaurant fine dining facilities. In everything they do and how they do it Ascot and its people represent the Monarch.

**THE ROLE**:
To provide assistance in processing internal meeting room requests liaising with 1711 for any catering requirements. As required, this role will support the wider Ticketing and Fulfilment team with whatever tasks as required. Attendance on all racedays during the contracted period will required (including Saturday 22nd June, Saturday 13th July, Saturday 27th July and Saturday 10th August).

You will have the ability to work well in a fast paced environment, under pressure and as part of a team.

**This role is full time Monday to Friday from Monday 22nd April until Saturday 22nd June (inclusive) and then 3 days a week from Monday 24th June until Friday 16th August.**

Due to the nature of this role, please note that extended lengths of annual leave will not be approved in the months of May and June.

**PRINCIPAL RESPONSIBILITIES**
Greeting all visitors who present themselves to reception, using excellent customer service skills and re-directing them or notifying the appropriate departments of their arrival.
Answering the telephone, logging into the Cisco Agent and forwarding calls and messages as appropriate.
Maintaining, by example, Ascot Racecourse's high standard of telephone and customer call handling.
Accepting deliveries, making the recipients aware of their arrival and maintaining a clear Reception policy.
Sorting and allocation of incoming post.
Sorting and processing of all outgoing post via the Royal Mail OBA & Click and Drop online systems, ensuring they are allocated to the correct departments.
Liaising with Royal Mail as required regarding deliveries and reordering of postal supplies.
Arrange couriers on an ad-hoc basis as required.
Assisting with face to face ticket sales and enquiries at the front desk, as and when demand requires it. These will be both for general enquiries and the Royal Enclosure.
Ensuring all lost property and left luggage items are dealt with promptly and efficiently, as per the departmental procedures. This will be the primary responsibility from 24th June until 17th August.

**OTHER RESPONSIBILITIES**
Support the Ticketing and Fulfilment Team as required in the lead up to Royal Ascot and the summer racedays.
Such other duties as the Company may, at times, reasonably require.

**SKILLS, EXPERIENCE AND QUALIFICATIONS**
Professional personal appearance appropriate for the Reception desk of a prestigious venue
Excellent administration details
Excellent attention to detail.
Accuracy at all times.
A good understanding of address formats and postcodes, both UK and overseas.
An understanding of the events industry and the rhythms in which this functions.
Good ICT skills, e.g. Microsoft Outlook, Word and Excel.
