We currently have a brilliant opportunity for a Projects Coordinator to join our growing team.
We are seeking a permanent, full time Projects Coordinator to join our team based at our Welbourn site.
**Purpose of a Coordinator**:
To coordinate the Projects teams, ensuring all works are planned with all required material, plant, tooling in place and access for engineers confirmed so the job is ready to launch whilst working to KPI’s & SLA’s. Liaising directly with Customers, ensuring customer portals and our systems are kept fully updated accurately.
Planning in advance the installation schedule with the head of Department and ensuring enabling works are confirmed prior to our planned install date.
**Main duties**
- To abide by & promote health & safety, ensuring all approved policies & processes are followed.
- Check engineers are following ‘Safety Absolutes’ during telephone conversations/FaceTime calls.
- Supporting the installation and field staff teams
- Ensuring softworks is always fully updated.
- Timesheet and trackers are completed weekly ready for sign off by Head of Departments
- Check the enabling works are completed and works are confirmed red booked in with site and that all plant/equipment is correct with engineer BEFORE attending to reduce avoidable down time.
- Ensuring all technical / product issues from the field are passed to the relevant persons to resolve.
- Ensuring any outstanding / uncomplete works are logged on the outstanding planner.
- Ensuring all works are completed on the live system and sent for invoicing.
- Plan work in advance based on supplier delivery dates.
- Engineers return to works process.
- Ensure engineering productivity remains high Attendance, absenteeism, performance management, HR issues.
- Report any identified training needs.
- Forward plan engineer resource to cover high workloads/planned holidays/peak periods.
- Check all completed jobs in ‘real time’ and action accordingly.
- Promote a strong health and safety work ethic.
- Preparing Health and Safety documentation/Risk Method Statements
**Customers**
- Deliver excellent pre, during and post installation customer service.
- Keep customer updated throughout process of installation (pre, during and post works)
**Financials**
- Ensure works are being coordinated to always maintain the best profit margin.
- Ensure ‘Van Stock’ and ‘Container Stock’ procedures are adhered to and stock replenished.
**Reporting**
- Job progress and status
- Achieve daily, weekly, monthly routines.
- Update all systems in ‘real time’ for clear visibility.
- Report on poor data quality and/or data issues within agreed time frames
- Report on Installation / non-productive activities within agreed time frames
- Report poor performance trends.
- Report any identified training needs.
- Any other duties as required
