Apple Recruitment are recruiting for a Administration Assistant on behalf of the Northern Health and Social Care Trust

Job Purpose:

The post holder will be required to provide administration support the DoL Implementation Project / Panels

Job Description:

* Receive and process all referrals and prepare same for panel meeting, attaching all appropriate paperwork.

* Monitoring DoL authorisations ensuring that timescales for reviews / renewals are met and any potential breeches are brought to the attention of the Office Manager.

* Manage incoming and outgoing correspondence, which includes e-mail, letters, memos and reports as necessary and ensure ‘bring forward’ systems are in place and necessary follow up action is taken.

* Drafting and compiling letters, reports and presentations as required and assist with the development and administration of MCA Sharepoint system.

* To collate and/or retrieve statistical data as required, and contribute to the analysis of data and support the development of draft baseline, interim and final evaluation reports as required.

* Knowledge and experience of using a range of software programmes to include Microsoft Word, Excel and Access along with other IT programmes as necessary for the Mental Capacity Service and support their on-going updating and development.

* Knowledge and experience in the use of the internet and other resources to source documents.

* Liaise with outside agencies and other disciplines, dealing with enquiries as appropriate.

* Contribute to the planning and organisation of Training Courses and Events being delivered by the Service.

* Attend meetings (at base and other locations as required), provide administrative support including minute taking and ensure that adequate preparation materials are available prior to meetings. Meet deadlines within appropriate time frames, and book venues and presentation equipment as required.

* Maintain diaries, make appointments and review schedules for managers within the Service.

* Update records and maintain efficient electronic / manual filing systems.

* Competent in use of multi-function devices and ensure faults are reported when necessary.

* Telephone duties, answer the telephone, take messages, and deal with queries as necessary from the public, Attorney General’s Office, Review Tribunal staff, Trust staff and other statutory sector staff. Provide cover as required for other clerical staff during periods of absence or excess workload.

* Maintain strict confidentiality in relation to the work at all times.

* To requisition supplies and maintain adequate levels of stock/stationery for the Service

* Ensure adherence; through his/her own actions to the principles of Equality and Human Rights legislation and Trust policies on Data Protection, Health and Safety and Fire Precautions. Use Trust and Departmental technology in line with the Trust’s Information Management and Technology Strategy.

* To participate in the appraisal and development process, identifying training needs and attending meetings/training courses as required or as appropriate to the duties of the post.

* Undertake any other duties as assigned by manager to ensure the needs of the service are met.

Essential Criteria:

Applicants must, by the closing date for applications, have:

1. (a) 4 GCSEs to include English (Grade A*-C) or equivalent AND 1 years’ clerical/secretarial experience in an office environment to include the use of the Microsoft Office suite of packages

OR

(b) 2 years’ clerical/secretarial experience in an office environment AND GCSE English Grade A*-C or equivalent

*In addition to (a) or (b) applicants must possess:

1. a) One year experience in the use of ICT. This should include the use of word-processing, spreadsheets and email.

OR

b) OCR Text Processing (Business Professionals) Level 2 Award

OR

c) RSA Stage II Typing/Word Processing (both parts) or equivalent.

(Holders of RSA/OCR examinations after September 1986 must have passed both Parts. Part qualifications are not acceptable. This must be clearly identified on application form)

3. Hold a current full driving licence which is valid for use in the UK and have access to a car on appointment. This criteria will be waived in the case of applicants whose disability prohibits driving but who have access to a form of transport approved by the Trust which will permit them to carry out the duties of the post
