Role Summary:

SOCIT (Shared Oxford Colleges IT) delivers essential IT services to seven Oxford colleges. As an Office Manager, you'll play a vital role in supporting the Head of SOCIT and ensuring the smooth running of the team by providing high-quality administrative services. This is a new post that will involve introducing the necessary systems and processes to facilitate the effective functioning of the team.

Key Responsibilities:

* Assist in managing SOCIT's budget, including tracking expenses, preparing financial reports, and ensuring adherence to financial policies and procedures.

* Collaborate with the Head of SOCIT to forecast and allocate resources effectively.

* Provide high-quality secretarial support to the Head of SOCIT, including effective diary and document management, invoicing, tracking workflows, arranging meetings, and drafting documents and internal team communications as required.

* Organise and manage the day-to-day administration of the SOCIT team.

* Establish and maintain robust and efficient office systems, including filing, information retrieval, and effective IT use.

* Assist with the preparation of papers and agendas for meetings as directed and provide note-taking in high-level meetings as required.

* Liaise with other SOCIT colleges and offices as necessary to facilitate support to the Head of SOCIT.

* Keep accurate records for the team, such as annual leave and sickness absence, liaising with the HR Officer as appropriate.

* Provide a point of contact for colleagues who have questions for the Head of SOCIT or other team members.

* Take on any ad hoc duties that may arise in the course of the role.

Essential Requirements:

* Educated to A-Level standard or equivalent.

* Well-developed administrative skills, including excellent time management, accuracy, and attention to detail.

* Experience in budget management, including financial tracking and reporting.

* Excellent IT skills, including proficient use of Microsoft Outlook, Word, and Excel.

* Enthusiasm for and ability to learn new IT systems quickly.

* Excellent interpersonal skills and experience of developing successful working relationships with a wide variety of people, demonstrating a high level of tact, tolerance, and understanding.

* Enthusiasm for supporting members of the SOCIT team.

* Experience of working calmly under pressure in a busy environment, balancing competing deadlines and priorities.

* Excellent communication skills (both oral and written).

* Good standard of numeracy.

* Experience of using initiative and creativity to proactively solve problems and make improvements.

* Positive approach to working cooperatively and flexibly as part of a team.
