Join our dynamic and vibrant team as an Office Assistant Our client, a leading organisation, is seeking a talented individual to provide crucial support and carry out various admin tasks as part of their Business Admin Central Services Team. This is a full-time temporary position where you will have the opportunity to work closely with a team of professionals and make a significant impact. Responsibilities:
- Conduct regular floor walks to ensure cleanliness and organisation.
- Perform observation checks and promptly report any issues or faults.
- Assist with general housekeeping and tidying up tasks.
- Support the Events Team by preparing name tents, name badges, and other materials.
- Coordinate and book meeting rooms and video conferences.
- Provide binding services to help create professional and polished documents.
- Arrange taxis as needed to facilitate smooth transportation.
- Manage expense reports using the Chrome River system.
- Maintain and service copiers, printers, and other office machines.
- Coordinate couriers and ensure timely delivery of important documents.
- Aid in e-filing and keeping documents organised and easily accessible.
- Handle incoming and outgoing faxes efficiently.
- Assist with document indexing and label printing for efficient retrieval.
- Provide support in locating and retrieving documents as well as conducting minor research.
- Log and manage confidential disposal bins, wires, toners, and general maintenance.
- Assemble and organise files to maintain an efficient filing system.
- Ensure meeting rooms are clean and organised for incoming guests.
- Assist with guest services to ensure a positive experience.
- Manage the ordering process for business cards.
- Carry out other necessary admin tasks as required.
- Support office moves and contribute to seamless transitions.
- Take internal phone calls and provide excellent customer service.
- Assist in packing and unpacking materials for events or office relocations.
- Handle document printing, photocopying, and scanning requests.
- Refill stationery points and maintain stock levels.
- Carry out other ad hoc duties as needed.
Requirements:
- Previous experience in an office support role or similar position.
- Strong organisational skills and the ability to work independently.
- Excellent communication and interpersonal skills.
- Proficiency in using office equipment and software.
- Attention to detail and a high level of accuracy.
- A proactive approach and the ability to take initiative.
- Flexibility to work shifts, including mornings and afternoons.
