Join our dynamic and vibrant team as an Office Assistant Our client, a leading organisation, is seeking a talented individual to provide crucial support and carry out various admin tasks as part of their Business Admin Central Services Team. This is a full-time temporary position where you will have the opportunity to work closely with a team of professionals and make a significant impact. Responsibilities:


  1. Conduct regular floor walks to ensure cleanliness and organisation.
  2. Perform observation checks and promptly report any issues or faults.
  3. Assist with general housekeeping and tidying up tasks.
  4. Support the Events Team by preparing name tents, name badges, and other materials.
  5. Coordinate and book meeting rooms and video conferences.
  6. Provide binding services to help create professional and polished documents.
  7. Arrange taxis as needed to facilitate smooth transportation.
  8. Manage expense reports using the Chrome River system.
  9. Maintain and service copiers, printers, and other office machines.
  10. Coordinate couriers and ensure timely delivery of important documents.
  11. Aid in e-filing and keeping documents organised and easily accessible.
  12. Handle incoming and outgoing faxes efficiently.
  13. Assist with document indexing and label printing for efficient retrieval.
  14. Provide support in locating and retrieving documents as well as conducting minor research.
  15. Log and manage confidential disposal bins, wires, toners, and general maintenance.
  16. Assemble and organise files to maintain an efficient filing system.
  17. Ensure meeting rooms are clean and organised for incoming guests.
  18. Assist with guest services to ensure a positive experience.
  19. Manage the ordering process for business cards.
  20. Carry out other necessary admin tasks as required.
  21. Support office moves and contribute to seamless transitions.
  22. Take internal phone calls and provide excellent customer service.
  23. Assist in packing and unpacking materials for events or office relocations.
  24. Handle document printing, photocopying, and scanning requests.
  25. Refill stationery points and maintain stock levels.
  26. Carry out other ad hoc duties as needed.

Requirements:


  1. Previous experience in an office support role or similar position.
  2. Strong organisational skills and the ability to work independently.
  3. Excellent communication and interpersonal skills.
  4. Proficiency in using office equipment and software.
  5. Attention to detail and a high level of accuracy.
  6. A proactive approach and the ability to take initiative.
  7. Flexibility to work shifts, including mornings and afternoons.
