Our client is seeking a skilled Site Secretary to join their team in the North East. As one of the leading house builders in the region, they are dedicated to delivering high-quality homes and exceptional customer service. Responsibilities: Administrative Support: Provide administrative assistance to the site management team, including organising meetings, managing calendars, and handling correspondence. Document Management: Maintain and update project documentation, including drawings, contracts, permits, and other relevant records. Ensure all documentation is accurately filed and easily accessible. Communication: Serve as a liaison between the site team, subcontractors, suppliers, and other stakeholders. Communicate project updates, schedules, and deadlines effectively to ensure smooth operations. Procurement Assistance: Assist in the procurement process by obtaining quotes, preparing purchase orders, and tracking deliveries. Collaborate with the procurement team to ensure timely and cost-effective procurement of materials and services. Health and Safety Compliance: Support the implementation and maintenance of health and safety protocols on the construction site. Assist in organising safety training sessions and ensuring compliance with regulatory requirements. Record Keeping: Maintain accurate records of site activities, including daily reports, meeting minutes, and incident reports. Assist in preparing progress reports for internal and external stakeholders. General Assistance: Provide general administrative support as needed, including photocopying, filing, and managing office supplies. Requirements: Previous experience in a similar administrative role, preferably in the construction or real estate industry. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant software. Excellent organisational and time management skills with the ability to prioritise tasks effectively. Strong communication skills, both written and verbal, with the ability to interact professionally with various stakeholders. Attention to detail and accuracy in record-keeping and documentation. Knowledge of health and safety regulations and procedures is desirable. Ability to work independently as well as part of a team in a dynamic environment. Flexibility to adapt to changing priorities and deadlines.
