Executive Assistant to the Chief Executive Officer

This role will provide you with an opportunity to work in a pivotal role within a busy, high-profile NHS Chief Executive office. You will be working closely with the CEO and Chief of Staff to ensure the smooth running of the CEO Office.

You will be given opportunities to grow and develop your skills and gain new experiences within the role. You will also be helping to ensure that NHS Blood and Transplant can save as many lives as possible through the gift of blood, plasma, organ, and tissue donation.

The successful candidate will be working as part of a small team and will have highly developed organisation skills and excel working in a fast-paced environment with shifting priorities. They will have experience in working in a politically sensitive area, using their tact and discretion in managing meeting requests, emails and correspondence.

Main duties of the job

In this role you will play a pivotal role in supporting NHS Blood and Transplants Chief Executive Officer, providing Executive Assistant support. Your responsibilities will include:

  • Forging and maintaining strong links with NHSBT Communications and correspondence teams, to identify opportunities to support the work of the CEO and wider NHSBT objectives.
  • Working closely with the Chief of Staff to ensure that CEO has the necessary briefing, seeking contributions from stakeholders and Subject Matter Experts as appropriate.
  • Managing a complex and very busy diary for the CEO, including arranging meetings, travel and venue booking.
  • Managing the CEO in-box, using tact, discretion, and diplomacy to ensure that correspondence is handled appropriately.
  • Ensuring that crucial stakeholders are kept appraised of latest developments, to support decision making and planning.
  • Collating and distributing complex information/statistics, using sound judgement and good drafting skills.
  • Support the CEO in their attendance of national and international events including planning meetings.
  • Providing an extensive Executive Assistant Service to the CEO/Chair of NHS Blood and Transplant.
  • Collaborating with a range of internal and external stakeholders to organise meetings.
  • Supporting with marketing materials such as articles for media engagement.
  • Supporting the work of the CEO Office in HR and budget management.

Person Specification Qualifications
  • Degree or relevant experience in Science, Business or similar subject.
  • Relevant NVQ Level 4 and/or significant experience in a similar role.
  • Demonstrates commitment to own continued professional development (CPD).
Experience
  • In-depth knowledge of domestic and international blood communities.
  • In-depth knowledge of equipment and consumables used in processing or testing of blood/blood products/tissues/samples.
  • Experience of providing project management support.
  • Relevant practical business experience working with and for senior management.
  • Experience of warehousing and/or stock management, including stocktaking, reconciliation, and documentation for the shipment of goods overseas.
  • Experience of working within the NHS.
  • Experience of working with information technology such as, Microsoft Office packages and using standard PA software for travel bookings, etc.
