About the team

We are seeking an organized, experienced and just generally fun person to join our People and Culture team as a Workplace Services & Support Specialist

As a member of our team, you will be responsible for ensuring a seamless and engaging workplace experience across our European office locations.In addition, you will oversee various workplace services and events, People and Culture team project work and related leadership and team support.Your focus will be on creating a positive and productive work environment for our onsite offices and amplifying our culture and providing support for our teammates across the globe remotely.

What y ou will do

Team & Culture Support:

  • Serve as the primary point of contact for employees' workplace-related needs, inquiries, and issues.
  • Maintaining communication channels to keep employees informed and connected regarding workplace, culture and other people related initiatives and activities
  • Co-create programs to promote VEED’s culture and values.
  • Provide project and related admin support as needed
  • Address and resolve concerns related to office facilities, equipment, supplies, and general workplace needs.

Event Coordination:

  • Assist in planning and coordinating workplace events, such as meetings, conferences, training sessions, and celebrations.
  • Arrange logistics, catering, audiovisual setup, and other event-related requirements.
  • Provide on-site support during events to ensure smooth execution.

Facility Maintenance:

  • Oversee the maintenance and overall upkeep of the office space, including but not limited to monitoring and reporting issues, coordinating repairs, and ensuring a clean and organized environment.
  • Collaborate with building management and external vendors to address maintenance security or other related concerns.

Equipment and Supplies :

  • Manage inventory and procurement of office equipment, supplies, and furniture.
  • Coordinate with vendors to ensure timely delivery, proper installation, and functionality of equipment.

Vendor Management:

  • Develop and maintain relationships with various service providers, such as cleaning services, maintenance contractors, and office suppliers.
  • Evaluate vendors and service offerings and monitor service to ensure cost-effectiveness and quality of service.

Workplace Policies and Compliance :

  • Ensure compliance with safety regulations, building codes, and company policies in all office locations.
  • Coordinate required emergency preparedness activities, including evacuation drills, first aid training, and other safety protocols required for legal and regulatory purposes.
About you
  • High school diploma or equivalent; additional certifications or training in office/facilities management or related field is a plus.
  • Proven experience in a similar role, demonstrating a solid understanding of workplace services, office management and support functions.
  • Strong organisational and multitasking skills, with the ability to prioritise and manage multiple tasks effectively.
  • Detail-oriented mindset and problem-solving abilities to address workplace-related issues promptly and efficiently.
  • Organizational and problem-solving skills to manage multiple offices concurrently.
  • Strong communication and interpersonal skills to effectively collaborate with employees, vendors, and stakeholders at various levels.
  • Ability to work independently, as well as collaborate effectively with cross-functional teams.
  • Flexibility to adapt to changing priorities and handle emergency situations when required.
  • Requires onsite presence in London Shoreditch office from Monday toFriday.
